Job Description

Works under general supervision and provides routine administrative support work for the Agricultural Farm Center (Equine, Animal Science, Twin Oaks Farm and Plant Science Center/Greenhouse.

DUTIES & RESPONSIBILITIES:

  • Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications. Composes correspondence, reports, publications, and presentations, including editing and proofreading.
  • Greets visitors, answers and screens calls, provides information and referrals, and schedules appointments. Receives, sorts, and routes mail and performs other mail services.  
  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.
  • Posts information to agency records and modifies forms or records. Verifies, processes, and reviews forms, reports, and other documents.
  • Makes arrangements for meetings, appointments, conferences, and travel.
  • Maintains office supplies and equipment. Maintains office reference materials including online office materials. May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.
  • May serve as a liaison for departmental equipment and service contracts. May participate in the hiring training, and supervision of student workers and other support staff. 
  • Reconciles accounts, files IACUC paperwork, sales receipts and solicits bids for farm purchases and sales.
  • Inputs invoices, quotes and insure prompt payments for the farm via Mane Market.
  • Assists with and helps supervise the Livestock Show Team
  • Provides assistance with the Swine Unit
  • Provides support for farm needs that include standard operating procedures
  • Insures daily observations for IACUC are recorded

MINIMUM REQUIREMENTS:

  • Education: High school diploma
  • Experience / Knowledge / Skills: Two (2) years of related experience.  Knowledge of word processing, spreadsheet, and database applications.
  • Ability to: Multi-task and work well as part of a team.  Ability to work with sensitive information and maintain confidentiality.  Ability to work independently once given a project.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Education skills and experience above and beyond the minimum that would be ideal but is not required.

  • Experience with university systems; ie. Mane Market, Concur, Workday and Canopy.
  • Degree preferred.  Prior experience in higher education.  Knowledge of Texas A&M Commerce policies and procedures.

SUPERVISION OF OTHERS:

This position could possibly supervise an office student worker.
