Job Description:

General Statement of Duties: This front line position works closely with the Assistant Registrar for Course and Classroom Scheduling regarding the production of the Day, GCE and AP course schedules each semester, including fall, spring, summer, and winter.  Assists with scheduling classrooms for academic use.   This position is responsible for following-up on missing grades and processing university withdrawals, assists students with registration issues, processing degree verifications, data entry and maintenance in the Banner Student Information system and assist with graduation as needed.  Works in a collaborative, team-centered mode and provides excellent customer service to all constituencies.

Duties & Responsibilities:

  • Provide front-line customer service.
  • Serves as back up for Transfer Credit data entry.
  • Process change of majors.
  • Assists the Assistant Registrar for Rooms and Course Scheduling with editing and maintaining the Day, GCE and AP course schedule (including course cancellations) for fall, winter, spring and summer.
  • Back up for Extended Campus Course scheduling,
  • Responsible for following up on all missing grades and any needed grade entries.
  • Processes all university withdrawals.
  • Assists with the classroom scheduling process for all academic courses.
  • Responsible for processing requests for change of name and/or addresses and enrollment verifications.
  • Responsible for the monthly enrollment feed to Clearinghouse.
  • Assist with aspects of graduation as it relates to the Registrar's Office as needed.
  • Processes student registrations and schedule changes and serves as back up for entering special studies.
  • Assists students, faculty, staff, and the community with questions regarding college and office policies and procedures.
  • Enforces student confidentiality of records as directed by FERPA.
  • Performs routine office functions and related duties.
  • Other duties as assigned by the Registrar.

  • Requirements:

  • Knowledge of the policies of the university.
  • High School Diploma and five years of Registrar office experience; associate's degree in related field can be substituted for years of experience.
  • Ability to work effectively in a fast-paced environment.
  • Strong computer skills and the ability to learn new software applications; experience with an integrated, computerized student records and registration system and Banner preferred.
  • Excellent organizational, communication and problem-solving skills.
  • Excellent customer service skills and ability to maintain confidential records.
  • Ability to work effectively with faculty and administration on room and schedule issues.
  • Ability to perform mathematical computations and maintain accurate records.
  • Experience with the Internet and web applications preferred.
  • Working knowledge of office practices and procedures including Office the use of office equipment.
  • Ability to manage multiple tasks, with attention to detail.
  • Ability to work independently and as a member of a team.
  • Ability to work accurately with names, numbers, codes, and symbols and to proofread with accuracy.
  • Ability to maintain harmonious working relationships and to maintain a high level of confidentiality.
  • Ability to represent the college in a positive manner that is consistent with the institution's mission and philosophy required.
  • Satisfactory pass of a check conducted by the Criminal History Systems Board (CORI) as well as a university background check.
  • Ability to perform above duties with or without reasonable accommodations.
  • Qualifications Acquired on Job (List of knowledge, skills, and abilities):

  • Knowledge of Registrar Operations
  • Knowledge of SCT Banner Information System.
  • Knowledge of FERPA regulations and how it applies to division.

  • Additional Information:

    Shift Information: Full time benefited AFSCME Union position. Hours are Monday through Friday from 8:30am-5pm.
