Additional years of professional administrative experience
Demonstrated experience providing confidential administrative support at the executive level
Experience in data collection, organization, and management
Expertise with the Microsoft Suite, particularly Excel spreadsheets, Outlook email and calendars, Word documents, PowerPoint presentations, and Teams
Demonstrated experience with customer service and hospitality
Experience coordinating meetings, taking minutes, and writing professional correspondence


Job Description:

Summary
Facilities Planning and Management at Iowa State University seeks applicants for an Administrative Assistant II who will provide administrative and clerical support for the Associate Vice President.
Responsibilities of this position include: :

  • performing a variety of administrative support activities
  • preparing minutes, notices, agendas, and correspondence
  • editing documents for grammar, spelling, and punctuation errors
  • supporting and maintaining administrative standards, processes, and procedures
  • providing customer service and communicating with students, occupants, faculty, staff, and visitors
  • conducting moderately complex research
  • gathering data, creating spreadsheets, and preparing reports and presentations
  • arranging and scheduling in-person and online meetings
  • procuring supplies and services as directed
  • making travel reservations and itineraries
  • working cooperatively with others

The successful candidate will have excellent attention to detail, a positive attitude, and great customer service. Strong written and verbal communication skills are necessary to be successful in the position. Additionally, the successful candidate will possess strong time management, data management, and organizational skills. Confidentiality is a requirement of this position. All staff members are expected to interact collegially, maintain the highest standards of integrity and ethics, and support the university’s Principles of Community.


Level Guidelines
• Career-level position demonstrating proficiency and knowledge of related competencies
• Works under direct to general supervision and may receive guidance on more complex assignments
• Follows established procedures for work assignments, and completes assignments which are semi-routine and may be atypical in nature
• Applies thorough knowledge to respond to inquiries and requests
• Able to resolve most problems and issues and respond to requests without escalation
• Provides guidance to students
• May provide supervision to one to two other staff or lead a small work team

Candidates must be legally authorized to work in the U.S. on an on-going basis without sponsorship.
