Administrative Assistant II - ILAC Dominican Republic

Creighton University is seeking to hire an Administrative Assistant, this is a full-time job located in the Dominican Republic.

 

Key Responsibilities

Administrative Office Support:

  • Maintains close communication and coordination with the ILAC DR-based Team.
  • Provides administrative support to Creighton-ILAC DR Team;
  • Tracks and orders office supplies, as needed.
  • Update any office documents (calendars, meal board, info sheets, etc.), as necessary.
  • Places reservations for Creighton-ILAC groups as requested by D.R Team.
  • Maintains special events as assigned, such as student birthday celebrations or milestones and all other events as specified by the department.
  • Prepares and maintains all documents as it relates to projects related to ILCA D.R and invoices/billing as directed by Director of ILAC-DR.
  • Maintains accurate data reporting in respective systems and/or tracking tool.
  • Completes other administrative duties as required by the University or supervisor.

Liaison for ILAC Director/ILAC Omaha  Campus and ILAC/CESI

  • Liaison for ILAC Director and Operations and ILAC/CESI with project manager, architect, and lead engineer on a regular basis:
  • Supports ILAC Director of Operations-DR and ILAC/CESI accountant to record construction funds and construction progress along with coordinating funds for each ILAC program, as needed.
  • Liaison for ILAC Director of Operations-DR and ILAC/CESI for projects and invoices that are supported through grants.
  • Distributes bills/invoices to each Creighton-ILAC group with ILAC/CESI accountant and assigned Creighton-ILAC Coordinator at the end of each program, as directed.
  • Coordinates with ILAC Omaha office and ILCA D.R  for wire transfers transaction needs in a timely manner.
  • Keeps record of final bills for each Creighton-ILAC group when submitted for payment.

As part of the ILAC team, may be asked to participate in requested research and grant applications that may benefit programming.

 

Qualifications

  • High school degree and some college education required. Bachelor’s degree in accounting, business administration or other related fields is preferred.
  • Prior experience working with budgets and logistics coordination, and bilingual English/Spanish is preferred.
  • Strong organizational and administrative skills is essential.
  • Effective verbal, written and cross-cultural communication skills with the ability to interact professionally with colleagues and group participants. 
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
