Position Summary

Under general supervision, the Administrative Assistant coordinates, oversees, and/or performs a wide variety of administrative support activities for the department. Assignments may be confidential in nature. Serves as the primary point of contact for internal and external constituencies. Must be committed to serving a diverse college community.

Duties & Responsibilities

  • Provide support for the Chief Human Resource Officer (CHRO and staff of the office, to include screening and handling telephone communications, greeting and directing visitors and handling inquiries, as appropriate; serves as a primary point of contact.

  • Provide support to the onboarding and new employee orientation process.

  • Serve as a reliable source of information for employees; maintain the departmental email account, responding to employee questions in a timely and professional manner.

  • Organize and facilitate meetings and special events.

  • Compose and prepare written documentation and correspondence.

  • Gather, enter, and/or updates data to maintain departmental records and databases; establishes and maintains employee files and records.

  • Coordinates and oversees the day-to-day management of supplies, equipment and facilities; process requisitions as needed.

  • Performs job-related duties as assigned.

Knowledge, Skills and Abilities

  • Excellent organizational skills and attention to detail.

  • Proficient in Microsoft Office Suite.

  • Knowledge of planning and scheduling techniques.

  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.

  • Records maintenance and database management skills.

  • Ability to communicate effectively, both orally and in writing.

  • Ability to analyze and solve problems.

  • Ability to maintain confidentiality and act with discretion at all times.

  • Skill in organizing resources and establishing priorities.

  • Ability to lead and train students.

  • Ability to create, compose, and edit written materials.

  • Knowledge of office management principles and procedures.

  • Ability to coordinate and organize meetings and/or special events.

Minimum Qualifications:

  • High School Diploma or GED

  • One (1) year clerical experience

Preferred Qualifications:

  • Bilingual (English/Spanish)

  • Experience using Workday ERP and/or Ellucian Banner
