Position Information
The Department of Rehabilitation Services invites applicants to apply for a full-time, nonexempt, position. The position will report to the Department Chair. The Administrative Assistant oversees office operations and ensures activities comply with UMES policies and procedures. 
Responsibilities
  • Prepares or assists in the preparation of budgets, grant applications, proposals, status reports and financial statements. 
  • Edits, formats, and revises a variety of documents and materials created by others. Develops and maintains spreadsheets.
  • Proofreads for grammatical, typographical and basic content errors; compose responses to routine inquiries in accordance to general instructions. 
  • Develops, implements, and maintains paper and electronic filing systems which meet department needs and satisfy requirements for retention and information security.
  • Keeps the Departmental Chair informed of account status, authorized expenditures and identifies cost effective alternatives.
  • Maintains calendar, prepares daily schedule and prioritizes meeting requests for Chair
  • Ensures the department Chair and Coordinators are appropriately informed and prepares for daily activities.
  • Coordinates, attends, prepares materials and special events. 
  • Enters, updates, and retrieves information as needed. 
  • Screens telephone calls and visitors; schedule and coordinate meetings and appointments. 
  • Makes travel arrangements following general instructions and campus procedures which may include travel arrangements for domestic or foreign travel. 
  • Performs necessary follow-up for vouchers, expense reports, and reimbursements. 
  • May supervise or direct the work of work study students or graduate assistants.
  • Oversees ordering and maintenance of office supplies and forms.
  • Perform other related duties as assigned.

Required Qualifications
  • High School Diploma or GED.
  • Two years of experience providing administrative support. 
  • Knowledge of Microsoft Office Suite Google (G) 
  • Must have excellent communication to include written communication skills
  • Must have excellent customer service skills. 
  • High degree of judgment, discretion, and confidentiality
Preferred Qualifications
  • Five or more years of administrative support.
  • Higher education experience and/or mental health professions knowledge
Required Knowledge, Skills, Abilities
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures. 
  • Skills in using various computer software packages, such as word processing, spreadsheets, database, presentation programs, internet, email, and calendaring software.
  • Ability to plan, organize, prioritize, and execute multiple and continuing  assignments with general instructions. 
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
  • Ability to communicate effectively both orally and in writing.
