Description

 

This position is for a half time (50%) appointment. Candidates are required to submit the following to be considered for this position:

This program assistant handles a varity of duties including webpage management, promotion of the Colorado Mathematical Olympiad and Geombinatorics journal, and administrative duties related to these programs, and supporting the mission of the College of Letters, Arts and Sciences. 

Key responsibilities include:

Administrative Tasks pertaining to the Geombinatorics journal & The Soifer Mathematical Olympiad:

  • Maintain files.
  • Curate and timely completion and processing of documents and information.
  • Information release to and communication with external constituents.
  • Periodic printing and mailing of the journal.
  • Accepting and processing Geombinatorics subscription orders.
  • Familiarity with campus offices and procedures to enable correct decisions about how to accomplish tasks.
  • Serving as the Store Manager of the CU Store “GEOMBINATORICS,” which processes journal subscriptions, mailing lists, etc.
  • Serving as the Manager of the Soifer Mathematical Olympiad, including the competition and the Award Presentation Ceremonies.
  • Successful candidates will possess the following traits: accountability, communication, customer service, interpersonal skills and job knowledge

Web Page Maintenance

  • With supervisory direction, update web pages in Drupal system for The Soifer (formerly Colorado) Mathematical Olympiad, Geombinatorics, and Department website. 
  • Quarterly update of Geombinatorics web site after publication of each issue. Annual update of The Soifer (formerly Colorado) Mathematical Olympiad web site after yearly competition. 

Promotion 

  • Distribute posters, brochures and programs for The Soifer (formerly Colorado) Mathematical Olympiad and Geombinatorics journal on predetermined timeline
  • Creating Award Presentation Brochures for the Soifer (Colorado) Mathematical Olympiad
  • Distribute materials to the public as directed.

Processing Donations, Gift inventory, and Subscription payments

  • Accept, process and record donations, gift inventory, and subscription payments.
  • Maintain a contact database and record a complete inventory of all monetary and in-kind donations made to The Soifer (formerly Colorado) Mathematical Olympiad and subscriptions made for Geombinatorics Journal.
  • With supervisory approval, submit scholarship payment requests for previous winners of The Soifer (formerly Colorado) Mathematical Olympiad. Maintain and updates research participant management software data and licenses for research studies.

Event Coordination

  • Schedule activities related to The Soifer (formerly Colorado) Mathematical Olympiad including room scheduling, registration, recruiting volunteers, communication with schools and award winners.

Qualifications

 

Minimum Requirements: 

  • One year of experience in an occupational field related to the work assigned to the position.
  • Appropriate education will substitute for the required experience on a year-for-year basis.

Preferred Qualifications:

  • The knowledge of WordPress software is an plus (web sites of The Soifer Mathematical Olympiad and Geombinatorics are done in this software).
  • Fluency in some computer-aided design (Adobe or the like) is a plus for creating The Soifer  Mathematical Olympiad certificates and brochures, etc.
