As an Administrative Assistant for our Facilities Management Team  you will perform clerical and administrative functions such as answering phones, drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing strong customer service skills.  You will be a critical point person for our Facilities Management team in communicating and documenting facilities issues, policies and procedures. 

 

The Facilities Administrative Assistants is a full-time, benefit eligible position.   The Facilities building is open from 6:45 am - 4:45 pm.  Two administrative assistants have overlapping 8 hour shifts to cover administrative responsibilities between those hours.  Exact work schedule will be based on department needs. 

 

Depending upon the qualifications of final candidate they will be offered at a level I or II.

 

 


Qualifications:
  • High school diploma or equivalent required;
  • 2 - 4+ years' administrative and/or office management experience;
  • Experience with Microsoft Office Suite to include Word, Excel, PowerPoint and Outlook;
  • Strong customer service and written and oral communication skills. 
  • Ability to stay calm, professional and focused while handling multiple competing priorities.

 


Knowledge, Skills, Abilities:
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures/processes;
  • Ability to communicate effectively (verbal and written);
  • Customer service focus including the ability to assess inquiries and provide appropriate information or resolution using judgment and available resources, and proven ability to maintain confidentiality;
  • Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment;
  • Ability to be collaborative and work in a team environment;
  • Demonstrate Professionalism;
  • Excels at time management, is organized and detail-oriented;
  • Ability to stay calm and focused in stressful situations;
  • Triage and prioritize urgent and non-urgent reporting during high-volume call levels; 
  • Must be dependable/accountable.  Regular attendance is critical to this position.
