Job Summary
To provide varied administrative support, including procurement, travel, personnel, and financial services for the Dean’s office and Support Units. Requires a broad understanding of organizational operations and procedures. May handle confidential and sensitive material.
Essential Duties and Responsibilities
  • Arrange travel, including travel authorizations, reservations, expense reimbursements, mileage reimbursements and non-travel expense reimbursements, for staff and study abroad trips.
  • Greet visitors and direct to the right person or department; maintain the reception area; answer, screen, and forward incoming phone calls.
  • Coordinate all activities of the Beta Gamma Sigma Honors Society (BGS), such as induction ceremonies (including but not limited to travel, room and catering, selection of eligible candidates, sending invitations, ordering supplies, etc.), process all necessary paperwork for scholarships, and complete annual Acceptance Survey for BGS.
  • Assists with room reservations and parking requests for the Dean’s office.
  • Assists with events to include purchasing items, greeting, setting up, cleaning up, and other related activities.
  • Keep office and break room equipment in check and order necessary office/break room supplies. Work with coffee vendor for Dean’s office.
  • Work with student organization groups (SOG) on room access and Dean’s office assistance on SOG issues
  • Act as TCP Timekeeper for Dean’s staff and support units.
  • Reconcile monthly procard statement. Prepare deposits and take to Bursar’s office.
  • Submits scholarship disbursement requests.
  • Other duties as assigned.
Required Qualifications
  • High school diploma or equivalent with two (2) years of experience providing secretarial or administrative support or equivalent work experience.

Preferred Qualifications
  • Bachelors’ degree in Communication, General Studies, or Business. 
  • Experience with departmental budgets. 
  • Experience processing basic financial transactions. 
  • Experience with PeopleSoft and working in a Higher Education environment.
Knowledge, Skills and Abilities
  • Use of personal computer and proficient in the use of software packages, including but not limited to Microsoft Office. 
  • Knowledge of mail merge and proficient in Excel is essential. 
  • Ability to prioritize. 
  • Keen attention to detail. 
  • Excellent communication and interpersonal skills. Ability to learn and adapt to new systems.
