Overview:  

We are seeking an Administrative Assistant who will focus on supporting the Chief Operations Officer and other members of the leadership team within the Fusion and Fission Energy and Science Directorate at Oak Ridge National Laboratory (ORNL).

 

As part of our team, you will support multiple individuals on the FFESD leadership team with calendaring, travel requests, organizing and planning sponsor meetings and events, as well as other administrative duties. This position will require close collaboration with the Associate Lab Director’s office and FFESD program offices.

Major Duties/Responsibilities: 

  • Managing and navigating email and calendars for one or more members of the leadership team.
  • Generating to do lists based on the email and calendars of the leadership team.
  • Serve as the directorate’s education coordinator.
  • Coordinate data calls and organize for the annual report, lab plan, lab agenda, and other data calls from the lab director’s office.
  • Planning, organizing, and implementing visits and events.
  • Reserving and preparing leadership for business and conference travel.
  • Navigate ORNL systems and perform basic administrative duties such as travel, procurement, coordinating meetings, and preparing agendas.
  • Work closely with the Division Administrative Assistants, the Executive Assistant, and the Administrative Services Manager.
  • Ability to maintain and ensure confidentiality while handling sensitive information.

Basic Qualifications:

  • A high school diploma and five to seven years of relevant experience.
  • Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams across the laboratory.
  • Excellent interpersonal and communications skills (verbal and written) and the ability to interact professionally and tactfully with people at all levels, both within and outside the laboratory.
  • Demonstrated organizational skills and initiative.
  • Advanced knowledge of Microsoft Office (Teams, Outlook, Word, PowerPoint, Excel, SharePoint, OneNote, and One Drive).

 

Preferred Qualifications:

  • An AS degree and two to four years of relevant experience.
  • Highly developed knowledge of ORNL administrative policies, procedures, and internal systems (SAP, PAS, ORNL Time, TravX, ORNL Buy, SBMS, eProp, etc.).
  • Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.
