The Student Academic Success Center team focuses on creating spaces for students to engage in their coursework and approach to learning. Through academic coaching, tutoring, Supplemental Instruction, effective communication strategies, the Tartan Scholars program, accommodations for students with disabilities, and language support for multi-lingual learners, we offer a wide variety of opportunities for students to deepen their understanding of who they are as a learner, communicator and, ultimately, scholar. The Administrative Assistant for Operations and Reception position is an opportunity to provide essential administrative support for the Success Center in a student-focused, fast-paced, welcoming, and inclusive environment.  This position will be supervised by the Director of Operations & Strategy.

Core responsibilities include:

  • Reception/front desk responsibilities for the Student Academic Success Center, including, among others, receiving guests and appointments to the center; managing phone calls, mail and packages; manage the Success room reservation system; appointment scheduling requests; making appropriate referrals to other offices or resources and follow-up to ensure resolution as needed.
  • Hire, train and evaluate front desk student staff of 12-15 students; develop student desk coverage schedule; review and contribute to Canvas training site; provide ongoing skill development; and approve student hours.
  • Coordinate the Success Center social media presence, including activities such as convening student social media team and overseeing their creation of content; liaison with University & Provost Division Marketing & Communication; attending communicators roundtable offered through campus partnerships; possible creation of content; coordinating posting schedule/process for IG @cmusasc with attentiveness to Academic Success brand.
  • Support the Director of Operations & Strategy and Operations Team with the coordination of general Success Center operations, including responsibilities such as managing central email account; managing supply inventory & ordering; creating and communicating front desk procedures and systems; welcome area signage and A-level bulletin board management; partnering on e-bboard displays; guest experience including physical and wireless access; study and classroom management; and cross-training within the operations team.
  • Participation in training, workshops, committee involvement and general campus engagement is expected.

The Administrative Assistant for Operations and Reception will demonstrate:

Qualifications:

  • Education: High School Diploma or equivalent
  • Experience: 3-5 years of administration support experience in a higher education environment
  • Experience with Workday, Vivix, and 25Live
  • Experience with Canvas or social media experience a plus
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
