Overview of Administrative Assistant

Purdue University Northwest is seeking an Administrative Assistant. The Administrative Assistant for the College of Engineering and Sciences will support the Department of Mathematics and Statistics. The successful candidate will handle administrative tasks, including, but not limited to, organization of student conduct hearings, managing Purchasing Card operations, paying invoices, and placing orders via the Ariba system.

 

Pay:

  • $17.00 - $22.00

 

Schedule:

  • Monday - Friday, 8 am - 5 pm

Duties and Responsibilities of Administrative Assistant
  • Handling financial matters including distributing, tracking, and reconciling Purchasing Cards, payment of invoices, placing purchase orders in and making purchases through the Ariba procurement system
  • Managing the day-to-day office functions within the Department Mathematics and Statistics, including answering phones, greeting students, schedule and maintain calendars, reserve rooms, arrange events, managing student workers, and tracking office supply needs
  • Schedule courses in Unitime
  • Collect data for use in Workload reports, presentations and meetings
  • Submit course evalution data each semester
  • Prepare and process hiring forms for Limited Term Lecturers, grad assistants, and student workers

Education of Administrative Assistant
  • Requires a high school diploma/GED

Experience of Administrative Assistant
  • Two years’ previous administrative support experience required
  • Ideal candidate will have previous experience working in a college environment

  • Ability to use good judgment, multi-task, manage multiple priorities and meet deadlines
  • Excellent customer service and organizational skills
  • Ability to take initiative, maintain confidentiality, and work effectively with diverse groups of individuals

  • Strong Microsoft Office skills
