Overview of Administrative Assistant

The Department of Chemistry and Physics is seeking an Administrative Assistant.  This role involves providing administrative support to Department Head, faculty members, and students in the department, facilitating communication, and managing day-to-day tasks to help the department function smoothly. The administrative assistant is responsible for handling various clerical and organizational duties, maintaining records, and assisting with special projects as needed. This will include, but is not limited to, managing Purchasing Card operations, paying invoices, and placing orders via the Ariba system. This position may require travel to the Westville campus.

 

Pay:

  • $18.00 - $20.00

 

Schedule:

  • Monday - Friday, 8:00 am - 5:00 pm

Duties and Responsibilities of Administrative Assistant
  • Scheduling appointments and meetings, coordinating departmental calendars and assisting with time management
  • Reviewing and auditing all incoming documents presented for the Department Head’s signature to determine accuracy
  • Analyzing information, summarizing results, and developing recommendations as appropriate
  • Supporting with academic tasks, such as course scheduling and workload reporting
  • Serving as principal functional liaison between the Department Head, faculty, staff, and students, as well as other University offices
  • Assisting students with inquiries, forms, and general information about the department
  • Managing student records, including enrollment, grades, and course schedules
  • Helping with the registration process and course-related administrative tasks
  • Providing information about departmental programs, courses, and academic requirements
  • Assisting with processes of hiring Student Workers for faculty
  • Providing indirect supervision of Student Worker
  • Assisting with departmental budgets, tracking expenses, and processing financial transactions
  • Assisting with procurement of supplies, equipment, and services
  • Preparing financial reports and assisting in budget planning
  • Maintaining accurate and up-to-date departmental records
  • Interpret and respond to inquiries relating to department information, student registration, program/degree completion, and other University policies and procedures
  • Drafting and editing departmental announcements, newsletters, and reports
  • Planning and organizing departmental meetings, seminars, and special events
  • Assisting in special projects or initiatives within the department as required 
  • Ordering office supplies and equipment
  • Maintaining strict confidentiality when handling sensitive information

Education of Administrative Assistant
  • Requires a high school diploma/GED

Experience of Administrative Assistant
  • Minimum two years administrative assistant experience required
  • Ideal candidate will have previous experience working in a physical sciences department at the collegiate level
