Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Position Summary Information


Job Description Summary
The assistant reports to and works closely with the Vice Provost for Academic Administration. The assistant will deal with many of the functions of the Office of the Provost such as issues relating to the scheduling of classes; data on enrollments, co-taught classes, cross-listed classes, and full-time faculty coverage; classroom usage report; faculty load; financial performance of various academic programs; and academic policies. Creating and maintaining databases forms an important part of the job. The assistant will also engage in researching academic topics needed by the Vice Provost and will work on special projects the Vice Provost is engaged in. To accomplish this work, the assistant will interact with faculty, students, Office of the Provost staff, and other staff in the University.
Responsibilities
  • Faculty load (teaching, research, administration…)
  • Perform data entry and update data files as needed Assist in analyzing data to support research objectives
  • Assist in the preparation of tables, graphs, fact sheets, and written reports summarizing research results
  • Create and maintain databases
  • Obtain information to assist the Vice Provost in verifying class schedule and adherence to policies
  • Research and special projects
  • Study of the financial performance of academic programs
  • Run reports
  • Monitor schedule of classes
  • Provide general clerical support and word processing
  • Answer the phone and respond to inquiries relating to compiled data and academic affairs matters
  • Check part-time faculty hours
  • Maintain policies and procedures document
  • Performs other duties as assigned
Required Qualifications
  • Knowledge of Excel, Word, and PowerPoint
  • Ability to perform a variety of tasks.
  • Bachelor’s degree or equivalent combination of education and experience.
  • Demonstrated computer skills in word processing, spreadsheet, database & electronic mail software, preferably of Microsoft Office Suite applications
  • Ability to manage multiple projects, prioritize, and complete them to meet deadlines
  • Proven ability of relational database input, data extraction and reporting.
  • Ability to pay meticulous attention to detail.
  • Proven ability to work independently and evaluate data, assess alternatives and formulate logical and sound recommendations.
  • Skill to perform arithmetic calculations: addition, subtraction, multiplication, division, percentages, and other elementary mathematical tools. Skill to build and interpret graphs.
  • Excellent communication and interpersonal skills, with the ability to interact diplomatically with a diverse group of individuals at all organizational levels.
  • Ability to maintain the highest level of confidentiality.
  • Ability to understand and apply complex academic policies and functions
  • Ability to use standard office equipment, including phone, fax, copier and calculator.
  • Writing skills: Excellent writing and editing skills, including the ability to prepare and proofread clear, concise and grammatically correct business correspondence, and other documents.
