Job Description

ADMINISTRATIVE ASSISTANT, CENTER FOR RESEARCH ON EQUITABLE AND OPEN SCHOLARSHIP (CREOS), MIT Libraries, to provide direct, high-level administrative support to the associate director of collections, the department heads in the Collections Directorate, and the Center for Research on Equitable and Open Research and play a crucial role in ensuring the smooth functioning of day-to-day operations. Will maintain leadership calendars; coordinate facilities, equipment, and space needs; provide backup support for various department heads; manage documentation, wikis, and websites; participate in the hiring and training processes; contribute to library-wide committees; handle reporting, procurement, and financial duties, including monitoring expenditures, generating reports, and supporting supply workflows; and assist with event planning, prepare materials for presentations, and troubleshoot basic technology for meetings.

Job Requirements

REQUIRED: high school diploma or its equivalent; at least three years of relevant experience; advanced-level proficiency with Windows and software such as Google Docs, Word, Excel, PowerPoint, and Outlook and the ability to learn new programs/systems; strong organizational, communication, and problem-solving skills; ability to work independently and manage competing priorities in a dynamic environment; attention to detail; and discretion with sensitive/confidential information. The position will involve lifting weights of up to 25 pounds for occasional meeting or delivery support. PREFERRED: associate's or bachelor's degree, customer service experience, familiarity with SAP/Concur/Coupa, general technical skill with AV equipment, and experience in an academic environment or research library.
