Job Description

The School of Sustainable Engineering (SSEBE) and Del E. Webb School of Construction (DEWSC) seeks a highly motivated and enthusiastic Administrative Assistant to support the Program Chair and Faculty in DEWSC.  This position will be responsible for a wide range of complex to general administrative related tasks and will interact with industry partners in addition to faculty and students.  The successful candidate will have excellent communication skills and efficient work qualities.

Essential Duties

  • Works directly with the Program Chair and provides administrative support for the Program Chair, faculty, visitors, and students within DEWSC, to include preparing correspondence, agendas, itineraries, and minutes.
  • Provides travel support within ASU’s systems for Program Chair, faculty candidates, and special visitors. 
  • Assists with accreditation documentation, evaluations, and reporting requirements, as well as maintaining documentation, data, and reports as requested by the Program Chair. 
  • Some purchasing utilizing Workday, Sunrise, and purchasing cards. 
  • Coordination of football and hockey suite, alumni picnic, and other special events including maintaining guest lists, distribution of tickets, coordinating registration, ordering food and beverage, providing parking validations, and maintaining required documentation. 
  • Scheduling conference rooms within CAVC.

Minimum Qualifications

Four (4) years secretarial/administrative experience; OR, Certificate in Secretarial Science AND three (3) years of secretarial/administrative experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience in event planning and coordinating.
  • Demonstrated knowledge of standard office practices and procedures
  • Customer service and/or front-line experience.
  • Experience in work that requires organizational skills
  • Demonstrated knowledge of ASU policies and procedures related to travel and purchasing cards
  • Experience in developing and maintaining effective working relationships
  • Experience in English composition, grammar, spelling and punctuation.
  • Experience in typing/word processing and use of personal computer/software
  • Demonstrated knowledge of MS Office to include Word, Excel, and Powerpoint
  • Demonstrated knowledge of Google Docs
  • Evidence of a Valid Arizona Driver’s license
  • Evidence of effective communicate skills

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. 
  • Occasional bending, reaching, lifting, pushing, and pulling up to 25 pounds. 
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.  Ability to communicate  to perform essential functions. 
  • Drive University vehicle and/or cart to campus sites. 
  • Valid Driver’s License required.
  • Work schedule may require working outside of normal work hours to include some nights and weekends.

Through a gift of the Del E. Webb Foundation, an endowment was established in 1992 to create the Del E. Webb School of Construction (DEWSC), now part of the School of Sustainable Engineering and the Built Environment.

Since that time, the DEWSC has been a national leader in construction and construction management higher education. Currently the School offers undergraduate and graduate degrees in Construction Engineering and Construction Management.
