Job Description Summary

The role of this position is to provide administrative and clerical support to this office (including faculty/ staff/ administration/ students) which is financial in nature. Duties may include billing, and compiling data, reports, and correspondence.Under limited supervision, the Administrative Assistant-A, Client Services is an essential personnel position and provides excellent customer service to both internal and external clients of the New Bolton Center Large Animal Hospital . Position is located in Kennett Square, PA. No public transportation is available.

Job Description

Specific tasks include handling incoming calls, scheduling appointments, processing patient admissions (including Emergency admissions), discharges, receiving and posting payments for services, and communicating pertinent information to both internal and external clients in a timely and professional manner. The nature of the work performed in this position requires a strong attention to detail, ability to multitask and remain calm in a fast-paced multi-dimensional environment, as well as excellent communication and customer service skills. Requires flexibility to work holidays, daytime, evening, or overnight shifts including on-call and weekend shifts.

Job Responsibilities

  • Greet and interact professionally with all internal and external clients, including owners, shippers, trainers, clinicians, students, and other department staff to convey information on incoming or discharging patients, including Emergencies, which often involves numerous staff and complex instructions.
  • Enter, process, and/or print admission and discharge forms to facilitate efficient patient movements through the Hospital. Interact with clients in a professional manner to collect, post, and reconcile payments for cases being discharged or emergency cases being admitted. Perform clerical functions to ensure patient records and Hospital census are accurately maintained and handled appropriately.
  • Answer incoming calls and route calls appropriately, in a friendly and respectful manner. Follow standard operating procedures and update them, where necessary. Notify appropriate internal or external clients of changes that affect them.
  • After hours answering service and dispatch for Field Service,
  • Act as dispatch to campus security and facilities, distribute keys to student dormitories and guest housing, distribute pharmacy prescriptions, accept drop offs for Microbiology samples
  • Provide accurate information including travel directions, emergency instructions, package delivery and shipping depot, for internal and external clients, perform any additional duties as assigned.

Qualifications

H.S. Diploma or GED and 1-2 years of customer service experience required (Associates Degree or certificate preferred).

Experience in Equine care. Bovine, and Small Ruminant care , working in a vet clinic a plus.

Computer literacy, including Microsoft Office and Outlook required.

This position is located in Kennett Square, PA. No public transportation is available. Must provide own transportation.
