ROLE of the POSITION

This role will coordinate and manage all activities and educational operations for the team that is responsible for delivery and assessment of doctorate degree content to medical students.  This is a high-level support role that assures compliance and administrative function while overseeing day-to-day office management, administrative support, and establishes/develops/grows strategic areas for the School of Medicine Academic Affairs division. 

This role will perform duties that support each department within the complex organization, and will perform problem resolution utilizing analytical and critical thinking to determine appropriate action specific to the area and the organization as a whole.  This role will receive broad objectives and will need to meet them through independent judgement and execution of tasks.

This position will also act as a liaison to divisions, departments, activities, operations and programs that are internal and external; coordinate communications internally and externally; relay and manage sensitive information that impacts programs and educational operations; research and investigate complaints, review historical information, precedents, policies, and procedures applicable to educational operations.

In addition, this role will have significant intersection with students and will be required to coordinate the administrative functions of educational programming.

Assignments have a wide and specialized breadth, and do require a higher level of experience/knowledge, critical thinking and management and ability to work with sensitive and confidential information properly along with an understanding of data, trends, and patterns.  This role also needs to know how to support administrators at all levels from Vice Dean to Assistant Director.

In addition, there will be coordination and management needs for calendaring, meetings, conferences, training, events, purchasing, travel, budgets, and exam proctoring through national medical board organizations/standards.

This position can expect to also perform research and compile materials as needed for proposals, grants, committees, reporting, and other data collection instruments or presentations.

This role needs to work with limited supervision and have the ability to interpret policy, procedure, make decisions to problem solve, and advise administration to operational issues at hand.

Errors in this position will affect operations for degree delivery (from delay to full failure) and the evaluation of that delivery (which is required by national accrediting bodies). It will have direct impact on students, UNLV faculty, community faculty, and/or clinical groups.  Education team errors can impede accreditation and the student educational experience or success in route to their degree completion.

QUALIFICATIONS

Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience.

PREFERRED QUALIFICATIONS

  • Experience managing multiple schedules effectively in a high paced office
  • Familiarity with degree programs, academic learning environments and degree/course delivery
  • Familiarity with assessment/surveys and data entry/collection to produce statistical reports
  • Familiarity with Google suite, Excel, PowerPoint, Word
  • Familiarity with Workday and PCard systems
  • Familiarity with NSHE/UNLV policy guidelines; experience in higher ed or an NSHE institution 
  • Ability to maintain confidentiality
  • Effective communication skills (oral and written)
  • Conflict management experience
  • Demonstrated commitment to School of Medicine values

SALARY

Grade 27 Step 1, salary $39,943.44. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
