Administrative Assistant will provide a high level of administrative support to the division chair and the faculty/staff of the Division of Medicinal Chemistry and Pharmacognosy within the College of Pharmacy; this position will be responsible for assisting the chair in monitoring and managing the division's financial performance including supplies and services budget and the division's release time funds; monitoring faculty allocations including release time and start-ups funds; working with the College Business Office on spending trends and budgetary needs to the division and faculty; responsible for complicated schedule management and maintenance, requiring independent decision making to coordinate the chairperson’s daily activities; arranges travel for visiting speakers and guests; utilizes Workday to process and manage procurement; schedules meetings and prepares meeting agendas and composes and maintains meeting minutes; advises division chairperson, faculty, and staff on university, college and division policies and procedures; assists and supports division chairperson in providing effective communication, logistical support and organization for the division; assists the chair with the operational interface between the College and Comprehensive Cancer Center for financial, travel and procurement related activities; assists the chair with duties associated with their appointment as co-director of the Medicinal Chemistry Shared Resource; responds to and composes correspondence for the divisional chairperson; handles confidential matters professionally and appropriately; maintains area office and lab supplies; oversees collection and organization of faculty promotion and tenure documentations; assists with divisional faculty recruitment; assists search chairs in the Strategic, Hiring, Initiative for Faculty Talent (SHIFT) process; keeps and maintains CVs and biosketches; assists with the management and tracking and implementation of financial documents including division budget; assists with pre-grant management; sends parcel mail; works productively as a team member; performs related and/or additional job duties as assigned.

Required Qualifications: High School diploma or GED is required. Applicant must have a minimum of 2 years relevant experience serving in an administrative capacity. Considerable experience with Microsoft Office programs (Word, Powerpoint and Excel). Excellent verbal and written communication skills along with the ability to multi-task.

Desired Qualifications: :  A Bachelor’s degree in Business Administration or related field, or an equivalent combination of education and experience is desired; considerable knowledge of university policies and procedures, including expenditure policies, procurement and travel (utilizing Workday); strong problem solving skills.


Additional Information:

The pay range for this job profile is $42,702 - $56,888. The offer for this position will fall within this range based on internal equity, unit's available budget, and the candidate's qualifications. This position is paid hourly.
