What You Will Do
Come and join an innovative team conducting groundbreaking research in defense of our nation. The Procurement Engineering section of Engineering Services-Engineering Project Delivery Group is seeking an outstanding, results-oriented candidates for the position of Administrative Assistant 3 to support the Procurement Engineering Group at TA50. The Procurement Engineering section is responsible for evaluating and procuring nuclear safety-related/augmented quality operational and spare parts, materials, equipment, and supplies and services.
As an Administrative Assistant, you will:
Provide administrative services and activities, including general office management, coordinating multiple calendars and complex schedules, including meeting/conference scheduling.
Accordingly, you will assist and or prepare a variety of internal and external correspondences, reports, and forms typically requiring close supervision and detailed instruction. Integral to this role, you will take notes at meetings and track follow-up actions both for Project Manager and Procurement Engineering Lead. You will also coordinate badging for external customers, including Foreign National Visitors; and coordinate with QC inspection to expedite the release of urgent procurement items.
In addition, you will track and assist with the resolution of Non Conformance and project submittals; maintain electronic and hardcopy files in established systems; and research, analyze, process, and resolve issues with document submittals from suppliers.
Lastly, as necessary, you will also assist the Procurement Engineering Lead Engineer and CMMR Lead Project Engineer with general administrative duties
What You Need
Minimum Job Requirements:
The successful candidate should have strong knowledge and experience in providing administrative services, preferably to an engineering organization, including activities associated with tracking and cataloging large quantities of information.
Effective communication is a vital component to this position. Accordingly, you must demonstrate e xcellent oral and written skills, including proofreading, grammar, spelling, and punctuation skills; have attention to detail ; and be able to work effectively in a fast moving team environment.
Other requirements include:
Proficiency with the use of Microsoft Office (Word, Excel, Outlook)
Proficiency with database input and manipulation with large amounts of data
Ability to effectively interact across all levels of internal and external personnel and staff; including the ability to build productive internal relationships.
Ability to organize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities
Education/Experience : This position requires at a minimum, a High School Diploma, or equivalency, and two-to-four years of experience providing administrative support services, or a combination of education and experience.
It is highly desirable that the candidate have current or previous:
General understanding of LANL and applicable ASME regulations related to procurement of safety related and non-safety related materials.
Current or previous experience as a Designated Procurement Representative .
