The University of Nevada, Las Vegas invites applications for Administrative Assistant 3, Civil & Environmental Engineering and Construction Department, College of Engineering [R0135240].

ROLE of the POSITION

Reporting to the Chair of the Department of Civil & Environmental Engineering and Construction (CEEC). This position will provide primary administrative support to the Department Chair, Graduate Coordinator, Undergraduate Coordinator, Faculty, Administration Assistant IV (AA IV), and student body. Tasks must be done by prioritizing assignments, using sound judgment, within the University, department, and state guidelines. Duties for this position are the following but not limited to: 1. Performing a variety of clerical, secretarial and administrative support duties including answering the telephone, administrative support to the Chairman, Graduate Coordinator, Undergraduate Coordinator, and 19 full-time faculty members, and Part-Time Instructors. 2. Assisting AA IV in scheduling the department meetings and taking notes. 3. Processing all travel documents in Workday (pre-travel / spend authorization to post-travel / expense report as well as travel arrangement). 4. Preparing J-1 and H-1B visa and permanent residency applications for international student interns and international scholars and coordinating with the Office of International Students and Scholars. 5. Accessing graduate applications for admission to one of our 3 graduate programs and preparing the evaluation files of the applicants for admission through the Graduate College's electronic initiatives (Salesforce). 6. Assisting Graduate Coordinator and Undergraduate Coordinator in collecting program accreditation data and conducting the PhD qualifying exam and Graduate Student Orientation program. 7. Appointing teaching assistants (TAs) and graduate assistants (GAs) with the instructions of chair and the grant principal investigators (PIs). 8. Assisting PI of the grants in purchasing research materials. 9. Collecting the updated syllabus of all the CEE- and CEM-prefixed courses and the list of required books from the instructors. 10. Assisting student organizations and graduate students with scheduling rooms for events, for example: reserving the room for the American Society of Civil Engineers (ASCE) and the Associated General Contractors of America (AGC) student chapters monthly meetings, dissertation proposal defense, final thesis or dissertation defense. 11. Assisting undergraduate and graduate students in enrolling in courses. 12. Preparing all hourly payroll action for temporary hires through Workday obtaining necessary approvals. 13. Submitting key requests, facilities maintenance requests, telecom requests, receiving pick-up requests, etc. 14. Updating, distributing, and maintaining undergraduate and graduate student data, and electronic exit surveys for accurate computation of data for statistical records. 15. Preparing documents, room, etc. necessary for department meetings (includes taking minutes), Graduate Seminars, and department special events.16. Interacting with the College of Engineering Dean's Office, Office of Sponsored Programs, Office of the Vice President for Research, Office of Student Financial Aid, and Human Resources to perform the duties. 17. Working with the College of Engineering Advising Center and CEEC faculty to ensure compliance with mandatory undergraduate faculty mentoring (a requirement of Accreditation authority). 18. Reconciling purchasing card (P-Card) purchases to accounts for faculty, staff, and CEEC Department. 19. Processing Statements of Intent to Register (SIRs), and other financial transactions in Workday as appropriate. 20. Maintaining ARCHIBUS space and inventory records. 21. Working closely with Administrative Assistant IV of the CEEC department to improve administrative efficiency.

This position is not eligible for remote work; this is an On-Campus position. An office space, computer, and printer will be dedicated to this position. Office hours are Monday - Friday 8am - 5pm, lunch from Noon - 1pm.

This position may require a criminal background check be conducted on the candidate selected for hire.

MINIMUM QUALIFICATIONS

Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas:  maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

PREFERRED QUALIFICATIONS

Preferred qualifications include experience working with undergraduate and graduate student database systems, Google Workspace (formerly G Suite), Workday, and online platforms designed for universities (such as MyUNLV scheduling and other UNLV Systems). Candidates should have the ability to multitask and work in a dynamic and fast-paced environment.  Candidates should have the knowledge and understanding of university policies and procedures. Candidates should have experience working with faculty and university or education institution systems. Candidates should have experience in working in a team environment and should possess strong communication skills. The candidate should be organized and detail-oriented. The candidate should be adaptable, patient, and collegial.

SALARY

Grade 27, Step 1, salary $37,166.40. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
