Job Description

The University of Nevada, Reno is recruiting an Administrative Assistant 3 to help coordinate the Chemistry of Biological Interactions Graduate Program funded by the National Science Foundation. This position is located at UNR's Main campus and reports to the program lead, Dr. Marjorie Matocq. This position will work closely with the project leadership team to coordinate recruitment & retention activities, course and workshop offerings, organize meetings, provide fiscal support, maintain the program webpage, help conduct programmatic surveys, preparation of annual reports and other duties as assigned.

Position responsibilities:

  • Coordinate recruitment and application process and assist with processing graduate student hires including reviewing applications, reference checks, transcripts.

  • Maintain all application materials as they relate to applicants and ensure that timely communication is received during the process of applying all the way to acceptance/rejection.

  • Input hires, terminations, and promotions of students into Workday in coordination with CABNR HR team

  • Coordinate and collaborate with Team leadership to create STEM education content (i.e.: team building, graduate mentoring, and interdisciplinary communication)

  • Serve as liaison between the project lead, the leadership team, faculty and student teams, existing graduate programs, and the assessment team.

  • Assist graduate students in completion of degree progression and associated paperwork.

  • Organize and schedule meetings and workshops within the program and with administrators and/or partners as needed.

  • Collect and organize project outcome and assessment data for the team.

  • Prepare and develop annual reports to the National Science Foundation

  • Coordinate student engagement activities with existing graduate programs and other training opportunities as needed.

Fiscal Support

  • Account maintenance for the project budget: reconciliation, report generation, technical account maintenance.

  • Reconcile all expenditures in Workday including for pcard and travel.

  • Submit spend authorizations and travel reimbursements as needed for team members.

  • Submit budget revisions as needed in Workday in coordination with NRES NSHE Specialist 1

  • Work with NRES department admin and accounting staff as needed for help with project budgets and expenditures.


Webpage Support

  • Maintain the program webpage(s) and associated resources as needed

  • Update the webpages as changes occur in a timely manner.

Required Qualifications

  • This position requires graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR

  • One year of experience as an Administrative Assistant II in Nevada State service; OR

  • An equivalent combination of education and experience as described above

A valid Class “C” Nevada driver’s license or higher operator’s license is required at the time of appointment and as a condition of continuing employment

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Preferred Qualifications

Candidates with a bachelor’s degree in STEM or an education-related discipline are encouraged to apply.

Compensation

Grade 27, Entry, Step 01 $19.94/hr – Step 05 $23.49/hr
