East Stroudsburg University is hiring an Administrative Assistant 2 for the College of Arts & Sciences! Located in the beautiful Pocono Mountains of Pennsylvania, ESU’s proximity to New York City and Philadelphia provides convenient access to internships, careers and social activities. Just minutes from campus are the country’s largest water parks, scenic Delaware Water Gap Recreation Area, Appalachian Trail, and other opportunities for recreational fun.

As the Administrative Assistant 2 for the College of Arts & Sciences, you will need to think creatively and be comfortable providing comprehensive administrative support. You will be an active member of the College of Arts & Sciences team and will work closely with the Dean to analyze and develop departmental operations. You will thrive in this role if you like combining your administrative and public relations experience while preparing detailed reports. To be successful in this role, you must have a strong attention to detail, collaborative, and a team player.
Your normal hours will be Monday to Friday 8:00 am to 4:30 pm. You may have to flex your schedule from time to time based on the needs of the business to be a true Administrative Assistant 2 for the College of Arts & Sciences. When our team shows up for work, they are energized and motivated to succeed - all while being the most crucial piece to keeping the ESU operations humming.


What Will I Do At ESU? (AKA Essential Duties)

  • Provide general administrative support, including answering calls, responding to
    emails, providing customer service to walk-ins, and organizing projects or documents.
  • Analyze and maintain faculty workload information for Dean approval; ensure course
    scheduling is efficient and cost effective with Dean approval.
  • Prepares budget estimates and various other fiscal and statistical reports; create purchase
    orders as needed; balance p-cards, submit for approvals; order office supplies and maintain inventory
    within budget.
  • Performs varied public relations duties such as: meet with community groups to explain  programs and engender public interest and participation; engage with social media and marketing
    efforts for the College.
  • Coordinate student worker employment onboarding.
  • Assist with event planning and coordination.
  • Perform other duties as assigned.

What We're Looking For (AKA Qualifications)

  • Bachelors Degree in English, Business, liberal arts or related subjects, or graduation from a technical
    program in secretarial or office support services, or equivalent education and experience.
  • 4 years’ experience as an administrative assistant, including at least 1 year working directly for a senior
    level manager.
  • Technical skills: Word (tables, reports, merging), Excel (formulas, pivot tables, graphs), Powerpoint
    (engaging presentations), and MS Teams. Banner experience is helpful.
  • Must be able to pivot from one task to another based on the department’s needs.
  • Demonstrated ability to handle confidential information with discretion; trustworthy.
  • Able to work independently with minimal supervision.
  • Able to establish and maintain effective working relationships with management, faculty, students,
    and the general public.
  • Must be able to speak, read, write, and comprehend English; able to create clear verbal and written
    messages.
  • Demonstrated commitment to continuous improvement, learning, collaboration, and positivity.
  • Able to read, write, and comprehend English; able to follow verbal instructions.
  • Experience with Word, Excel, Teams required.
