Position Summary:
The Administrative and Program Specialist works closely with the College of Liberal Arts and Sciences, Center for Inclusive Education’s Director to manage operations, plan and promote events, and to help ensure that operational and tactical goals are executed effectively and on-time. Limited local travel and occasional attendance at evening events is anticipated.
The Administrative and Program Specialist in the Center for Inclusive Education (CIE) (Administrative and Program Specialist) will support undergraduate and graduate students with information, support, and communication about co-curricular academic preparation, enrichment, experiential learning, and professional development opportunities for qualified students. The Administrative and Program Specialist will report to the Associate Dean of Diversity, Equity and Inclusion and work closely with other CLAS staff to support the overall implementation and operation of the CIE’s student support offerings. The Administrative and Program Specialist will support the execution of events, programs and services for the CLAS Center for Inclusive Education and activities related to Diversity, Equity and Inclusion.

Duties and Responsibilities:
  • Communications: Assist in the implementation and execution of CLAS DEI strategic objectives, initiatives and activities. Provide outreach to the CLAS community in support of expanding and enhancing services for undergraduate and graduate students.Support the CLAS DEI ecosystem through participation in programming and attendance at select events. Drafting and editing memos, reports, monthly newsletters, and other updates; event promotion; liaising with key partners at other universities, as well as faculty, students and staff at Villanova; coordinating with CLAS DEI-assigned graduate assistants, creation and maintenance of various promotional and events lists.
  • Education and Training: Management of CIE Submittable account, including creation of new submission forms, data entry, data clean-up and generation of targeted lists for student support systems; management of CIE social media accounts (in conjunction with CLAS Communication Office); management of CIE lists, records, meeting minutes, and testimonials. Benchmark, create and maintain knowledge resources for support opportunities for undergraduate and graduate students in CLAS.
  • Events and Programs: Assistance with development and execution of CIE-sponsored events. Work with University Events calendar team and CLAS administrative staff to coordinate services and logistics for programs and events, including meeting scheduling, marketing and communication efforts, facilities, catering, technology needs, displays, printing, parking needs, programs, event contracts, audio visual aids, etc. Attend most CLAS CIE programs and events to ensure that each event runs smoothly and independently resolve event issues. Occasional evening and weekend work required.
  • Administrative Support:Assistance with management of CIE financial accounts and grants. Support the budget and financial processes. Provide administrative support, including scheduling, meeting arrangements, and student opportunity follow-up. Create and manage the CIE schedule/calendar of programs, internal (to include recruiting activities, events, etc.) and external (to include activities sponsored by other stakeholders on campus and those hosted by affiliated organizations) Provide benchmarking support for CLAS diversity, equity and inclusion initiatives to support marginalized undergraduate and graduate students.
Minimum Qualifications:
  • High school diploma or equivalent required.
  • The individual must have an understanding of the importance of diversity, equity and inclusion in an educational environment with a desire to work with students, faculty and staff of diverse backgrounds and varying social identities to advance the culture of inclusion.
  • Minimum of 2 years related work or internship experience required.
  • Expertise in MS Office suite required
  • Excellent writing and communication skills; ability to organize, plan, and manage projects and public-facing events.
  • Experience operating and troubleshooting standard office equipment.
Preferred Qualifications:
  • Bachelor’s degree preferred.
  • Event planning experience preferred; graphic design and social media proficiency preferred but not required.
