Summary of Job Duties:

This position is responsible for providing administrative analyst support to the Facilities Management Operations & Services, PDC Management, Energy Management, and the Accounting department staff. The administrative analyst will be responsible for planning, organizing, and scheduling the various project and recurring activities, as well as preparing budget and progress reports for applicable departments. This position is governed by state and federal laws and agency/institution policy.

Qualifications:

Required Education &/or Experience:

  • Formal education is equivalent to a bachelor's degree in public administration, general business, construction management, or a related field.

(Other job-related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements upon approval of the qualifications review committee.)

Preferred Experience:

  • Experience with Workday;

  • Experience with CMMS;

  • Experience working in Facilities Management.

Job Duties & Responsibilities:

  • Research and analyze construction and maintenance data pertinent to renovation and new construction of building projects;

  • Assist with maintenance and tracking of utility costs and accounts;

  • Develop and maintain databases, spreadsheets, and other fiscal reporting mechanisms. Reviews and audits fiscal information for accuracy and quality assurance;

  • Prepare reports with regard to budgeting for applicable departments, preventative maintenance for operations, and space management requirements and is able to explain findings and recommendations;

  • Assist with developing Facilities Management-specific administrative directives, policies, and procedures to ensure consistent application;

  • Provide information, assistance, and clarification to interested parties concerning construction and renovation projects, and the facilities department's programs, policies, and procedures;

  • Assist supervisors by maintaining leave and travel records, and appointment calendars, prioritizing incoming correspondence, and logging and electronically filing incoming architectural and engineering documents;

  • Develop and update maintain closeout document binders and maintain hard and electronic copies of binder contents;

  • Track all assigned one-time and recurring tasks, reports, briefings, papers, minutes, etc. to include suspense dates and status, to ensure all are provided for review and approval by the internal and external clients. Documents, tracks, and updates actions identified;

  • May supervise a work-study or graduate assistant and evaluate the work performance of incumbents;

  • Assure accuracy of all reporting data, as well as assist in the development of policies, procedures, and standards;

  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Ability to plan, organize, and direct the work of others;

  • Ability to analyze financial records and prepare reports;

  • Ability to interpret and apply policies and procedures;

  • Ability to work evenings and weekends as requested;

  • Knowledge of the construction industry and Facilities Management area;

  • Ability to prepare, present, and review oral and written information and reports;

  • Knowledge of computers and software applications, specifically MS Word, Excel, PowerPoint, Access, Google Sheets, and Google Documents.
