Description

The Semel Institute, Department of Psychiatry and Resnick Neuropsychiatric Hospital are seeking a full time Administrative Analyst to provide administrative and executive level support to the Director/Executive Chair and Assistant to the Chair. You will be responsible for completing the following duties: * Managing the Chair’s complex schedules, including coordination and scheduling of both internal and external meetings, conference calls, presentations, and lectures. * Managing the Chair’s incoming and outgoing telephone calls, emails, and correspondence. * Managing the Chair’s domestic and international travel * Providing general administrative support in other areas as needed. * Must be able to maintain confidentiality, work independently, and exercise good judgement in prioritizing assignments. * Must be able to establish creative work methods and effective strategies to complete assignments in a timely and accurate manner with minimal supervision. * Must possess all the required skills to efficiently and effectively manage their responsibilities at the time of hire.

Qualifications

Required: • Extensive experience and solid working knowledge of Windows-based software programs (Microsoft Office 2000 or XP, especially Word, PowerPoint, Excel and Outlook). • Demonstrated interpersonal skills (both by telephone and in-person) to interact effectively and efficiently with individuals of various social, cultural, economic, and educational backgrounds and at all levels of the organizations in order to obtain and convey information clearly, accurately and courteously. • Ability to attend to detail while multitasking. • Ability to support both Chair and Assistant to the Chair, communicating clearly with each as to respective work priorities. • Skill in writing and speaking clearly and distinctly, using appropriate vocabulary and grammar. • Skill in accurately editing written materials. • Demonstrated skill in maintaining a courteous and calm demeanor and professional appearance in continuously changing environment with frequent interruptions and distractions. • Ability to deal with confidential and sensitive information in a discreet and professional manner. • Ability to judge when, and to whom, a particular request or situation should be referred. • Ability to read and understand complex correspondence and requests for information in order to identity action items and follow up independently. • Ability to coordinate and maintain complex schedule, meeting calendars, email, and mail. • Ability to work as part of a team and to establish and maintain cooperative working relationships. • Skill in working accurately with attention to detail in order to recognize errors and/or discrepancies. • Ability to compose professional-level documents and presentations utilizing Word and PowerPoint. • Familiarity with Outlook configuration and operation, especially for Exchange Server. • Demonstrated ability to prepare basic spreadsheets employing Microsoft Excel. • Ability to complete correspondence, manuscripts, reports and other assigned writing tasks with speed and accuracy. • Ability to complete correspondence, manuscripts, reports and other assigned writing tasks with speed and accuracy, • Ability to adhere consistently to scheduled working hours. Willingness to work flexible hours as required. Preferred: • At least two years of experience working in an academic health-related environment. • At least three years of experience working at the Assistant to the Chair II or similar level.
