Administrative Aide

Position Summary

Under the direction of the Supervisor of the Outpatient Transplant clinic, the incumbent will perform front-end functions to support physician practices for all Transplant programs (Liver, Lung, Kidney, Pancreas, Small Intestine).


  • Organizing and planning varied work details
  • Writing, editing, typing and presenting of various documents and materials; preparing own correspondence and formatting reports  
  • Organizing and maintaining Director’s calendar
  • Providing information relating to specialized activities; advising students, patients, faculty, etc.
  • Organizing itineraries, coordinating and scheduling committee meetings and conferences; preparing and distributing of minutes; identifying assignments made to departments or divisions and implementing procedures for fulfilling those commitments 
  • Manipulating, revising and retrieving text and data from video display terminal; utilizing more complex software packages 
  • Assigning, coordinating and reviewing the work of others; training new lower level support staff
  • Specialized knowledge and experience in administrative functions of the department (e.g., grant administration, payroll, academic appointments, etc.)
  • Compiling statistical reports, analyzing and correlating data
  • Serving as contact between office (or supervisor) and other specialized units, which may include affiliated hospitals and institutions, as well as research, political and public relations institutions

  • Minimum Qualifications

    • Minimum education: 

      Bachelor’s degree

      Minimum related experience:

      At least 2-3years related experience or equivalent in education and/or business experience.
