Essential Functions : The services provided by the Student Health Center (SHC) include but are not limited to primary medical care, counseling and psychological services, wellness education and support, and select specialized health services. All professional staff and faculty who work in the SHC are expected to facilitate the services we provide, relevant to their specific position. Under the direction of the Associate Director, the Administration and Building Operations Assistant performs duties in support of administration and operations activities in the SHC. This may include, but is not limited to, assisting in onboarding new staff and volunteers, processing travel claims, setting up for meetings and events, supporting accreditation activities, maintaining inventories, coordinating building repairs and maintenance, completing lock-up procedures at the end of business day, and other administrative and building operations duties as assigned. Other responsibilities include: provide general support for administrative activities within the SHC; assist in on boarding new staff and volunteers, processing travel claims, scheduling training room use, and setting up for events and meetings; assist with tracking and follow up on submitted requisitions; support AAAHC accreditation activities and tasks; assist in maintaining a perpetual inventory of medical and office supplies; prepares purchase requests for office and medical supplies; maintains file of outside venders in order to obtain price quotes to determine best prices; receives all incoming supplies, checks purchase order against received items, maintains receipt status of all orders, follows University Claim procedure for returning of incorrect or damaged items and communicates with the Offices of Shipping and Receiving, Campus Stores, and Procurement to troubleshoot outstanding orders; upon receipt of "Want List" distributes medical and office supplies as requested to SHC staff; assists with approving open order invoices for payment after checking items against internal records of receipt; maintains stock room in an organized and tidy manner for easy retrieval of supplies; secures the building at the conclusion of the workday and sets security alarm; provides general clerical assistance, including tasks such as photocopying, document assembly, and related duties; professionally and promptly handle incoming phone calls; provide information, direct calls to the appropriate personnel, and assist callers with inquiries; collaborate closely with staff to support daily operations; assist students by providing information, guiding them to relevant resources, and addressing their inquiries; provide administrative support to other areas as needed; maintains perpetual inventory of equipment including all Property Survey and Property Movement documents; as requested by Property Control Office, performs inventory check of all equipment items listed on University inventory list; reports all missing equipment to University Police and prepare Equipment Survey documents; prepares Equipment Movement forms for equipment loaned or gifted to other University departments; prepares Equipment Survey forms for equipment no longer needed or not functional; prepares purchase service order for annual equipment calibration and arranges for site review; maintains file of repair and maintenance venders to obtain best price; assists with preparation of purchase service order for equipment repairs and equipment purchases; is knowledgeable of reception and medical records related duties; is the secondary relief staff member working during the noon hour, calls for nurse assistance as needed, and otherwise informs students how to access services after 1:00 p.m.; provides coverage at the reception desk and medical records office when staff is using accrued leave credits or during peak usage periods such as registration clearance rush; prepares sign-in sheets for volunteers; sorts and distributes SHC mail; assist Health Promotion Dept with general information given to University population; chairs the Continuous Quality Improvement Facility Safety Team and supports the SHC's CQI plan; create, track, and follow up for Facilities Work Request forms for repair and maintenance work to be performed by Facilities Services and follows through until work is complete; communicate continuously with Facilities Services and custodian assigned to the SHC to insure building is clean and well maintained; conduct regular rounds to reports unusual building maintenance problems to supervisor; coordinates with EHS to facilitate annual inspections; and performs other duties as assigned.
