Position AnnouncementUtah Valley University is seeking a part-time Admin Support! The Admin performs and/or oversees a variety of administrative duties, including fiscal, staff support, and planning activities, some of which require advanced or specialized knowledge and skills such as budget administration, facilities and inventory management, preparing invoices and A/P, ePAFS, specialized record keeping and database management, and/or specified information-gathering projects and tasks. Coordinates and facilitates meetings, program functions, and/or special events.
The required office hours for the positions are from 9 AM - 3 PM Monday-Friday.
Summary of Responsibilities- Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, and financials, and obtaining factual information requiring knowledge of policies/procedures of assigned and work-related areas.
- Informs students, faculty, and the public of departmental and university services available and answers incoming requests for information.
- Coordinates the preparation and submission of various reports, including timecards, PAF’s, ESAF’s, new hire paperwork completion and submission, requisitions, purchase orders, travel requests, index tracking and reconciliations, budget balances, etc. Establishes, updates, and maintains files, inventories, ordering, receiving, billing, distributing, and reconciling expenditures. Coordinates the payroll process, including preparation, submitting, monitoring, and maintaining payroll records.
- Maintains inventory of office equipment and supplies and administers other office duties as needed which may include supervision of office support.
- Performs other job-related duties as assigned.
Minimum QualificationsGraduation from an accredited institution with an associate's degree and one year of experience or any combination of education and experience related to the Summary of Duties totaling three years.
Preferred Qualifications:
Associate's degree and two years of administrative experience.
Licenses or Certifications:
Drivers License
Knowledge, Skill, and AbilitiesKnowledge:
- Knowledge of best practices in events, marketing communications, correspondence, and appropriate matters of etiquette in various settings or vehicles.
- Skill in office methods, techniques, practices and procedures. Skill in the use of computers and computer software applications, including word processing, spreadsheets, email, internet, and presentations.
- Skill in the preparation and interpretation of reports, charts, graphs, and tables.
- Strong interpersonal, problem-solving and decision making skills.
- Exceptional customer service orientation and phone etiquette.
- Maintain confidentiality at all times. Perform a variety of administrative support duties with minimum supervision.
- Follow oral and written procedures and instructions.
- Communicate effectively, verbally and in writing.
- Must meet and deal with people of diverse backgrounds.
- Maintain confidentiality of highly sensitive information.
- Must demonstrate professional demeanor and poise.
