Summary

Provide both executive level support in the CW administrative office as well as providing financial operations to support both CW Administration and all CW donor funds.   Position includes all administrative support for the Chief Operating Officer and Associate Chief Operating Officer including complex calendar management and scheduling.  Position involves monitoring and reconciling a range of accounts, coordination of payroll and all ePro requisitions.   Assists with the preparation of Concur reports and all monthly variance tracking.

Responsibilities*

Administrative

  • Coordinate calendars including the scheduling of complex meetings that involve high-level executives.
  • Prepare and organize background materials and agendas for various meetings on behalf of the
  • CW Administrative team including:
    • CW Executive Committee
    • CW Operations Committee
    • Monthly budgetary meetings CW Administration
  • Other project meetings as assigned
  • Handle materials of a highly confidential and sensitive nature. Respond with tact, diplomacy and discretion in interactions with internal and external constituents, including the President's Office, Executive Officers, the community, patients, faculty, staff and major donors. Respond in a timely manner to inquiries and direct matters to the appropriate individuals for action.
  • Assist with general office duties, including answering the telephones, setting up meeting rooms, initiating conference and video calls, ordering, sorting and distributing mail and greeting guests.
  • Provide back-up as needed to other members of the team, including occasional support for the Chief Clinical Officer and Chief Nursing Officer of CW.

Financial Accounting

  • Process P-Card reconciliations, expense reports, purchase orders, Non-PO vouchers and other requisitions.
  • Manage all donor accounts and review all monthly finances for donor funds with the ACOO
  • Manage, monitor, and process transactions, including journal entries and UDC
  • Process payment requests

Payroll

  • Maintain payroll static groups and assign new employees to groups as needed
  • Run and review payroll queries to assure that all time is properly recorded, submitted and approved Resolve issues in a timely manner so that payroll deadlines are met

Purchasing

  • Create ePro requisitions as requested by assigned research labs and administrative staff
  • Compile and maintain information and files to prepare purchase orders
  • Maintain files and records of materials, prices, inventories and deliveries

Other

  • Assist with preparation of Concur reports; review Concur reports for approval
  • Assist with shortcode maintenance
  • Assist with special projects and ad-hoc reporting
  • Organize and assist with Leadership Town Halls and special events, as needed

Required Qualifications*
  • Bachelor?s degree. 
  • Proficient in the use of Word, Excel, Outlook, and PowerPoint 
  • More than 3 years of progressively responsible office experience. 
  • Robust problem solving and analytical skills. 
  • Demonstrated ability to handle confidential information. 
  • Initiative, flexibility, and creativity 
  • Experience interacting with executive level and or other high-level administrators.

Desired Qualifications*
  • Familiarity with UM accounting systems, policies, and procedures, and/or payroll highly preferred.
  • Experience with queries and/or developing reports using Business Objects.
  • Strong attention to detail, accuracy, timeliness, and sound organizational skills.
  • Excellent written and oral communication skills, including the ability to communicate financial information clearly and concisely to all levels of faculty and staff who may have varying degrees of financial knowledge.
  • The ability to work independently as well as in diverse teams.
  • Outstanding customer service.
  • Ability to work independently and as a collaborative team member.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
