This position supports the functions and daily operations of the Division of Pediatric Critical Care by supporting the Division Director, Medical Director, and Advanced Registered Nurse Practitioners (ARNPs) of the Pediatric Intensive Care Unit (PICU). The administrative services coordinator contributes to the success of the division by providing administrative services through the coordination and support of planning, directing, and evaluating operations. They coordinate divisional activities and events; gather and provide information as requested from the department and college.

Duties to include:

  • Support the daily operations of the office including coordination specialized events and activities, reviewing appropriateness of expenditures, and adhering to changes in policies and procedures.
  • Coordinate and/or administer the operational and/or financial activities associated with the division. Monitor status of projects.
  • Support the division director in planning, developing, coordinating, and implementing short- and long-range goals as outlined in the strategic plan for the divisions.
  • Provide requested administrative assistance for the Pediatric Critical Care Fellowship, which may include recruitment and accreditation requirements, data tracking, and submissions to the fellowship program with specific attention to deadlines.
  • Exercise knowledge of HR policies and procedures; may provide basic guidance and advice to division director and others in the division.
  • Analyze program data, develop reports, and oversee activities. Monitors specific divisional accounts/expenditures; reconcile statements. Advise management on budgetary needs or discrepancies.
  • Assist in the coordination/preparation of strategic plans for the division. Monitor strategic plans and make recommendations for change if the plan is not being met or if the strategic direction has changed. Establish timelines, remind contributors of their assigned efforts, and proof and edit the divisions' strategic plan.
  • Collect, analyze, maintain, and provide information on various divisional activities. This information relates to scheduling activities, educational programs, and faculty promotions.

About the Division of Critical Care:

The Division of Critical Care is committed to providing excellent clinical care, education of learners at all levels, and the advancement of knowledge through pursuit of biomedical research. Clinical care is provided in a 28-bed combined medical/surgical intensive care unit, including highly specialized management of the cardiac intensive care population and patients requiring Extracorporeal Membrane Oxygenation support. Our critical care faculty, in collaboration with the pediatric critical care nurse practitioners and our specialized bedside nursing staff, are focused on the delivery of excellent clinical care, with patient satisfaction scores consistently greater than the ninetieth percentile. The quality of care provided in our Intensive Care Unit is analyzed by participation in the Virtual Pediatric Intensive Care Unit Performance System (VPS) and Pediatric Cardiac Critical Care Consortium for benchmarking and data sharing.

Required Qualifications

  • Bachelor's degree or equivalent combination of education and experience is required.
  • Excellent written and verbal communication and interpersonal skills are required.
  • Must be proficient in computer software applications (MS Word, Excel, Powerpoint, Outlook).
  • 1-3 years of related administrative support experience is required.

Desirable Qualifications

  • 1-3 years of experience working in a clinical setting.
  • Demonstrated knowledge and understanding of academic medicine.
  • Experience in providing high level administrative support to a physician leader.
  • Previous experience providing administrative support to multiple providers.
