Job Summary
The Institute of Innovation and Entrepreneurship at the University of Texas at Dallas is seeking a dedicated and organized part-time Admin Project Coordinator to join our dynamic team. This role will be pivotal in ensuring smooth operations within the Institute, supporting various administrative functions, and providing essential assistance to team members. Prior experience at UTD and institutional knowledge is highly desirable.
Minimum Education and Experience

Bachelor’s degree in a related discipline and three years of administrative experience, experience related to the project area or any equivalent combination of education and experience.

Preferred Education and Experience
  • Prior experience in an administrative role, preferably in an academic or university setting.
  • Familiarity with University of Texas at Dallas protocols and procedures is highly desirable.
  • Excellent organizational skills with a keen attention to detail.
  • Strong communication skills, both written and verbal.
Essential Duties and Responsibilities
  • Reporting and Managing Facility Challenges: Act as the primary point of contact for reporting and managing facility challenges, coordinating with appropriate university departments for timely resolution.
  • Managing Room Reservations: Oversee the scheduling and coordination of room reservations for meetings, events, and programs within the Institute.
  • Assisting Team Members: Provide support to team members by assisting with projects, programs, and events as needed, ensuring deadlines are met and tasks are completed efficiently.
  • Organizing and Ordering Office Supplies: Maintain inventory of office supplies, place orders when necessary, and ensure office refreshments are stocked and replenished.
  • Reporting Funding Needs: Assist in identifying and reporting funding needs for various initiatives and projects within the Institute.
  • Navigating University Protocols and Approvals: Serve as a resource to team members and external partners by assisting in navigating university protocols and approvals for projects and events.
  • Managing Front Desk and Student Workers: Supervise front desk operations, including managing student workers, scheduling shifts, and ensuring coverage during office hours.
  • Other Applicable Administrative Needs: Provide general administrative support such as answering phones, responding to emails, filing, data entry, and other tasks as assigned.
