Summary

The Division of Metabolism, Endocrinology and Diabetes (MEND) within the Department of Internal Medicine is seeking an experienced administrative professional to support assigned faculty members.  The ideal candidate will be highly organized, detail-oriented and have a service-oriented attitude. The candidate will work closely with faculty and other administrative staff to manage faculty calendars, expense reimbursements, and assist faculty with all other administrative needs.  This is a hybrid position.

Responsibilities*
  • Provide complex administrative support to clinical and instructional track faculty.
  • Calendar management; schedule meetings and other appointments
  • Ability to submit clinic closing request, vacation request in QGenda.
  • Coordinate meetings, including reserving conference rooms, arranging zoom meetings, managing AV, assisting with conference materials.
  • Prepare itineraries and coordinate domestic and international travel arrangements.
  • Support expense reimbursement for travel, membership renewals/dues, subscriptions, conference registrations and handle expense tracking and reporting.
  • Maintain and update faculty CVs in Elements, maintain biosketches.
  • As part of the administrative team, participate in team meetings, assist team members, provide backup coverage for other administrative positions.
  • Perform other duties as assigned.

Required Qualifications*
  • An equivalent combination of education and experience with a minimum educational level of high school graduation and 1-2 years of administrative experience
  • Excellent interpersonal skills
  • Excellent written and oral communication skills
  • Experience with Microsoft 365, Outlook, Teams, Zoom
  • Demonstrate ability to set priorities, handle multiple assignments, work collaboratively with team members, and meet competing deadlines

Desired Qualifications*
  • Bachelor's or equivalent combination of education and experience
  • 2-4 years of administrative experience
  • Knowledge of UM policies and procedures preferred

Background Screening
