Summary

The Administrative Assistant is responsible for supporting the work of the Department of Earth and Environmental Sciences through providing support to the chair of the Alumni Engagement Committee and staff including meeting scheduling, managing calendars, managing access to resources, acting as alumni board liaison, and other related tasks. This role will require a person to have great problem-solving and organizational abilities.

Responsibilities*

Comprehensive administrative support, including scheduling, correspondence, meeting/small-scale event management, and occasional travel arrangements.

  • Manage calendars and correspondence for chair of alumni engagement committee
  • Organize and track progress on initiatives and planning
  • Provide status updates to department Chief Administrator to facilitate coordination
  • Manage department electronic alum resources (e.g., LinkedIn and UCAN group)
  • Draft content/changes to electronic and printed materials
  • Initiate payments/requisitions for services for outside vendors
  • Other duties as assigned

Required Qualifications*
  • Proficiency with Google Workspace products, including Gmail, Calendar, and Google Drive
  • Excellent verbal and written communication skills, including spelling, grammar, and punctuation
  • Demonstrated interpersonal skills and strong customer service skills
  • Ability to exercise initiative, independent judgment, diplomacy, confidentiality and possess a positive service-oriented attitude. 
  • Familiarity with higher education culture, reporting structure and decision-making
  • Exceptional problem-solving skills

Additional Information

This is a 20-hour per week temporary position slated to last up to six months, based on the availability of work, availability of funding and overall performance.


Background Screening
