Summary

The Division of Pulmonary and Critical Care Medicine is seeking an experienced administrative professional to support assigned faculty members.  The ideal candidate will be highly organized, detail-oriented and have a service-oriented attitude. The candidate will work closely with faculty and other administrative staff to manage faculty calendars, expense reimbursements, and assist faculty with all other administrative needs.  This is a hybrid position.

Responsibilities*
  • Coordinate meetings, including reserving conference rooms, arranging zoom meetings, managing AV, assisting with conference materials, and attending meetings as needed 
  • Prepare itineraries and coordinate domestic and international travel arrangements
  • Support expense reimbursement for travel, membership renewals/dues, subscriptions, conference registrations and handle expense tracking and reporting
  • Assist faculty with correspondence, maintain  Curriculum Vitae CV, biosketches and Other Support
  • As part of the administrative team, participate in team meetings, assist team members, provide backup coverage for other administrative positions
  • Perform other duties as assigned

Required Qualifications*
  • H.S. diploma or equivalent combination of education and experience
  • 1 year of administrative experience
  • Excellent interpersonal skills 
  • Excellent written and oral communication skills with the ability to effectively communicate and collaborate with colleagues
  • Experience with spreadsheet and presentation applications including Excel, Word, and Teams
  • Demonstrate ability to set priorities, handle multiple assignments, work collaboratively with team members, and meet competing deadlines
  • Judgment while operating in a flexible and professional manner
  • Knowledge of UM policies and procedures preferred

Desired Qualifications*
  • Bachelor's or equivalent combination of education and experience
  • 2-4 years of administrative experience

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act.
