Position Summary

The Department of Family and Community Medicine is seeking a professional, customer service focused individual to serve the Chair of the department. The successful candidate will provide administrative support to the Department Chairperson in managing and overseeing the day-to-day activities to include over 80+ faculty, 45 residents and approximately 50 staff members. Under direct supervision, the individual will coordinate, oversee, and/or perform a wide variety of administrative, customer service, and program support activities on behalf of the Chair and Executive Committee of the Department of Family & Community Medicine. 

·         This person will serve as primary point of operational and administrative contact for internal and external constituencies, often on complex and confidential issues. 

·         Coordinate the provision of office and staff support services to the office, and oversees and/or participates in the coordination, supervision, and completion of special projects and/or events. 

·         May serve on a variety of committees in a support capacity. 

·         May assist with promotional materials, and/or program implementation, administration, and reporting.

·         Executive support for Chair and Department Administrator including managing calendars, schedules, correspondence.

·         Creating travel documentation, arranging travel and reimbursements

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

·        Ability to manage multiple priorities

·        Coordination of calendars, schedules, etc.

·        Project Management

·        Excellent customer service skills and the ability to handle difficult situations in a professional manner

·        Organizational skills and prioritize deadlines

·        Working with confidential information

·        Working with a diverse population

·        Documents preparation ((Use of Word, Excel, PowerPoint, Access, Outlook/GroupWise, Photoshop, and Illustrator)

·        Banner systems and P-card experience

  Decision making and problem solving.
