Job Summary
Bowdoin College is located in Brunswick, Maine with a student population of almost 2000. We make everything from scratch and consistently rate in the top 10 for college dining! Dining Service has its own butcher shop, bake shop, and organic garden that all supply food to our 2 dining halls and 3 retail locations.
The Accounts Payable Specialist will provide administrative support to the Dining Services department by processing accounts payable; maintaining petty cash; assisting with requests for information and providing administrative support as requested for dining managers. The ideal candidate will have the ability to problem solve and think critically while working independently and as a member of the team.
Essential Functions
  • Responsible for precise and timely processing of accounts payable through the College’s accounting software (Workday) and runs related reports. Keep accurate, current files on all documents generated by the office.
  • Receives dining invoices into CBORD’s Food Service Suite ensuring all data points are reviewed and adjusted as needed for accuracy.
  • Prepares daily bank deposits from cash & credit card sales for the dining halls and deliver to the cashiers office. When necessary, reconcile petty cash, prepare cash bags and handle other cash requests and documentation as required for the department.
  • Assists Administrative Coordinator with printing and distribution of function sheets for catering events.
  • Maintains office coverage in conjunction with the Administrative Coordinator by answering main phone line for Dining, assisting callers and/or directing to correct person.
  • Provide administrative support to dining managers as requested.
  • Assists at the checking station as needed.
  • Sort mail and receive deliveries.
  • Responsible for the renewal of all business licenses. Complete, submit and maintain applications for all catering liquor licenses.
  • Responsible for gathering and maintaining CS Gold data to show trends, counts, etc. for meals during the academic year breaks.

  • Hourly range for this position is expected to be: Minimum $22.00 – Maximum $25.00/per hour

Education/Skills Requirements
Required:
  • High School diploma or GED equivalent.
  • Strong computer skills, especially with the Microsoft Office Suite and experience using financial software.
  • Excellent organizational, customer service, and oral and written communication skills.
  • Must have the ability to set own work flow, plan ahead and meet deadlines.
  • Ability to adhere to a high level of attention to detail resulting in accuracy in work.
  • Maintain confidentiality and interact professionally and courteously with guests and staff members.
  • Must be able to work closely with others within a team atmosphere and apply good judgment in interpreting dining service policies for students and other dining service customers.

Preferred:
  • Associate’s degree.
Experience Requirements and/or Equivalents
Required:
  • 3 – 5 years in a similar office setting with at least 3 years of data entry experience.

Preferred:
  • Prior experience using Workday Finance software for invoice processing.
Standard Work Days and Hours
  • Monday – Friday from 8:00 am – 5:00 pm
  • This position may require occasional overtime and weekend work during major college events.
