Position Description

The Junior Grants Manager/Accounts Payable Coordinator is primarily responsible for financial and administrative management of departmental research funds. This will include monitoring and analyzing revenue and expenditures on federal and non-federal research grants, restricted gifts and other discretionary resources. They will ensure the timely and accurate processing of the department’s research expenditures, oversee invoice payments; purchasing and corporate card transactions; vendor set-ups and employee reimbursements. The incumbent will work closely with research and administrative staff to confirm appropriate cost allocations and to monitor the availability of funds.
They will also review and resolve invoice holds, follow up with researchers and vendors regarding payment issues, and monitor committed funds reports. This role is will also be responsible for financial compliance, reporting, forecasting and analysis. The incumbent will prepare sponsored financial reports requiring interpretation of University and Sponsor financial policies. This position will also assist PIs and the Office of Research Administration with the development and submission of grant proposals. This position may also include a small portfolio of 1 to 2 labs for which the incumbent will be responsible for providing guidance to the faculty about department, university and sponsored policies, as well as communicating to the PI(s) and supervisor about funding shortfalls and contingency plans.


Basic Qualifications

Minimum of 3 years administrative and/or financial related experience.


Additional Qualifications and Skills

  • Bachelor's degree preferred.
  • Expertise with MS Office Suite.
  • The successful candidate must be able to take initiative, possess strong communication and inter-personal skills, as well as the ability to multi-task and move easily among varied work projects.
  • Must be highly organized and detail oriented.
  • Must be able to work as part of a team, as well as to work independently.
  • This role requires seeing tasks to completion in a timely manner.

Additional Information

This position is based in Boston and some in-person on-campus work will be required, and flexible/remote work is an option. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, MA, MD, ME, NH, NY, RI, and VT). Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt.
