Purpose

Position to serve as a critical team member in the Ambulatory Surgery Center at UT Health Austin. This position provides accounting support for the Materials division and manages a high volume of voucher processing, purchasing, data entry, inventory control, and maintaining office equipment and supplies.

Responsibilities

  • Timely processing of accounts payable for the department, including, but not limited to, purchase orders (PO), invoice payment requests, travel authorizations, and reimbursements. Ensure departmental account coding is accurate for all payments.

  • Process purchases through UT Market Carts and with other vendors. Order general department supplies (copier, coffee, office) and maintain and track inventory.

  • Reconcile department purchasing card (procard). Assist with the processing and input of implant information in REDCap.

  • Support contract management activities for clinical units and monitor services to spend and expiration dates.

  • Carry out ad hoc reporting supporting the Ambulatory Surgery Center, UT Health Austin initiatives.

  • Support team in the annual physical inventory of capital and controlled assets (equipment, technology).

  • Work with vendors and consultants to complete the onboarding process, resolve invoicing errors/issues, process checks, and re-issue requests.

  • Provide consistent, timely, and reliable communication to clients via email or other methods regarding the status of approvals, returns, and process changes.

  • Supports the facility by adhering to policies and procedures.

  • Effectively works with the Materials Manager to ensure the facility’s equipment inventory is accurate and maintains relationships with vendors for equipment maintenance.

  • Other related functions as assigned.

Required Qualifications

High school graduation or GED plus experience as an administrative assistant or similar role. Professional verbal and written communication. Ability to anticipate needs and follow through with internal and external customers. Knowledge of basic medical terminology and proficiency in basic math skills. Basic knowledge of MS Suite (Word, Excel) and use of a computer, printer, and fax machine. Ability to maintain and respect the confidential nature of medical information. Ability to use experience and judgment to plan and accomplish goals. Strong organizational skills, a flexible work style, and ability to manage multiple challenging projects simultaneously in a fast-paced work environment. Preferred Qualifications

Demonstrated experience with the University of Texas financial systems and accounting procedures. Three years of related experience in a hospital or ambulatory surgery center setting demonstrating increased responsibility. Experience with travel, entertainment and other types of invoices and voucher processes. Knowledgeable of the University’s procurement, payment, and audit processes. Proficiency in Point Plus, UT Market, DEFINE, Smartsheet, REDCap, and/or the Req System


Salary Range

$40,000 + depending on qualifications


Working Conditions

  • Work hours are variable based on patient care needs but are generally Monday-Friday.

  • Ability to sit and stand for prolonged periods of time, some bending, stooping, and stretching

  • Ability to perform overhead and low-reaching activities

  • Requires hand-eye coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and occasional use of other office equipment

  • Physical strength for equipment needs; may require frequent lifting/moving up to 50 pounds and occasional lifting/moving in excess of 50 pounds.  

  • Exposure to noisy equipment
