Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from 10/23/2023 through 10/30/2023 and open to external applicants thereafter.

 

The College of Natural Sciences, Forestry and Agriculture is seeking a highly qualified person to fill the position of Accounting Support Specialist CL3. This position provides purchasing and accounting support to the Dean’s office and acts as a back up to college units for these functions, providing direct support where needed. This person reports to the Finance and Administration Manager for the college and will interact with a wide variety of individuals throughout the college and the shared service units within the University of Maine and University of Maine System.  The college is a large complex organization made up of eight schools, three academic departments, numerous teaching and research facilities, five research farms, a green house, a marine center and the University Forests. The college has a base budget of approximately $30 million dollars and an additional $15 to $20 million in grants awarded annually.   

 

Full-time, regular, 40 hour per week, 5 days per week.  Daily work hours are Monday-Friday 8:00 a.m. to 4:30 p.m. with occasional overtime, weekend, and holiday work required as needed. This position pays $19.59 per hour or applicable ACSUM transfer rate.

 

This position will reside in Winslow Hall on the Orono campus.

 

Essential Duties & Responsibilities:       

  • Acts as a first point of contact for the office, coordinates the flow of financial information and forms for the college, develops and maintains electronic filing systems, and occasionally coordinates and schedules meetings.
  • Provides procurement services for the Dean’s Office, including purchasing, travel and expense reports. Acts as a backup to units for these functions, providing direct support where needed.
  • Provides accounting services for the Dean’s office including billing, accounts receivable, journal entries, commitment tracking and account reconciliation. Acts a backup to college units for these functions, providing direct support where needed.
  • Assists the Manager of Finance and the Associate Dean in other financial projects and reporting such as budgets, yearend closes, and federal capacity grant reporting.
  • Effectively utilizes technology including working with numerous financial applications, database and query tools, complex spreadsheets, and file sharing systems.
  • Maintains financial policies and procedures on the college website.
  • Continuously looks for improvement opportunities to streamline processes.
  • Develops and maintains positive working relationships.
  • Completes other reasonably related duties as assigned.

 

Other Information:      

  

Supervisory Responsibility:  May periodically oversee the work of undergraduate student employees and administrative staff.

 

Work Environment:  Will typically work across multiple business offices at UMaine.

Required:

  • 60 credit hours of related, post high school education or equivalent work experience and training and two years of accounting support experience.
  • Excellent interpersonal skills with a proven record of teamwork, customer service and professionalism.
  • Excellent organizational skills with the ability to independently prioritize, multi-task and complete work in a fast-paced environment.
  • Excellent spreadsheet and technical skills.
  • Excellent problem solving and mathematical skills.
  • Proven attention to detail and focus on accuracy.

Preferred:

  • Knowledge of MaineStreet financial applications or similar systems experience.  
  • Experience in account reconciliation, purchasing, travel and expense reports.
  • Associate’s or bachelor’s degree.
