Facilities Development and Management, Business Operations, Polytechnic campus, seeks an Accounting Specialist to perform a wide range of specialized or technical clerical accounting and bookkeeping functions.

Salary Range

Essential Duties

  • Process invoices and purchases in Workday
  • Process purchases in Sunrise through Amazon, Staples or other suppliers
  • Assists vendors on status of payments using Workday
  • Contact vendors or department to resolve payment on invoice discrepancies
  • Process purchasing cards in PaymentNet, reconcile documents through Adobe Sign from supervisors. Reconcile transactions and retrieve statements until completion
  • Process monthly invoices for chilled water customers and reconcile billing in Workday
  • Assist the Accountant with Polytechnic Utilities billing and keep spreadsheets updated
  • Assist the Accountant with Travel processing documents in My ASU Travel/Concur
  • Process monthly water meter reading spreadsheets. Assist with collection of water meter reading for Lantana Hall. Assist with any water meter reading discrepancies
  • Review the Polytechnic Service Center work orders daily, assigning accounts and rate schedule. Assign new accounts to chargeable work orders
  • Review the weekly ledger
  • Reconcile the monthly voyager fuel cards
  • Post, link transactions in WebTMA
  • Prepare WebTMA reports when needed
  • Prepare or review specialized calculations related to posting and accounting functions
  • Assists with Risk Management claims

DAYS AND SCHEDULE: Monday-Friday; 8:00AM-5:00PM 

This position is eligible for flexible work options, including alternative work schedules or hybrid remote work schedules where employees spend a minimum of 60% of their regular workweek at their primary ASU work location, subject to approvals per ASU policy.


Minimum Qualifications

Associate's degree in Business Administration or related field AND one (1) year of related experience; OR,Three (3) years related accounting experience; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

Experience in:

  • Maintaining and reconciling accounting and financial records.
  • Utilizing an on-line financial system (Workday, etc.).
  • Risk Claims processing
  • Adobe Sign processing
  • Working with and maintaining data input in a work order system (WebTMA)

Knowledge of:

  • Travel Policies and Procedures
  • Purchasing Card procedures
  • Microsoft Office applications (i.e., Excel, Word, Outlook, etc.).
  • Customer service skills.

Evidence of effective communication skills


Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Required to stand/sit for varying lengths of time and travel moderate distances to perform work.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
  • Lift up to 25 pounds.
