Job Summary

The Harvard School of Dental Medicine (HSDM), located in the heart of Boston’s Longwood Medical Campus, ranks one of the preeminent schools of dental medicine in the country. In a unique educational model that believes that oral health and primary care are interchangeable.  The Dental Center houses a Teaching Practices, where treatment is delivered by pre-doctoral dental students and advanced graduate dental students. The Dental Center also houses a Faculty Group Practice in Boston-Longwood and Cambridge-Harvard Square location where care is delivered by Harvard Faculty.


Position Description

The Accounts Receivable Assistant performs a variety of financial and accounting responsibilities including gathering and reviewing daily transactions for the Harvard Dental Center, completing daily deposit for bank delivery, generating daily reconciliation control reports. performs a variety of financial and accounting responsibilities.  Duties include but are not limited to:

A/R Reconciliation & Daily Bank Deposits

  • Create and distribute daily change banks for the PSL Team.
  • Gather and reconcile financial transactions (checks, cash, credit card and electronic payments ) created by the PSL Team and Accounting Assistant from previous business day.
  • Verify transactions against the proper axiUm reports and verify individual staff deposits/banks for accuracy. Reconcile to all individual staff deposits. Ensure transactions are in line with immediate manager’s master tie-down and deposit reports.
  • Review deposit and divide funds according to provider postings.
  • Inform Patient Services Liaison (PSL) team of errors; obtains corrected items
  • Review daily collections and productions and post funds by program.
  • Prepare daily deposit slips and drop off at local Bank of America; prepare daily journals for Office of Administration and Finance, and reconcile any outstanding issues.
  • Generate reports to track collections and daily cash flow for each clinic.

General Administrative

  • Filing and record-keeping
  • Serve as a backup to order office supplies for the HDC.
  • Serve as a back-up to other administrative duties, per immediate manager and Coordinators.

Basic Qualifications

High school graduate. Accounting courses beyond high school or two plus years of experience in an accounting and/or financial role. Computer competencies include utilizing Microsoft Word and Excel. Must be flexible with schedule and prepared/comfortable commuting to two sites as part of regular job duties.


Additional Qualifications and Skills

Dental or medical environment experience preferred. Attention to detail and ability to handle complex and confidential information with discretion. Must possess strong organizational skills, ability to prioritize and complete multiple tasks. Must be comfortable, resourceful, and nimble—quickly providing information in-person or via phone and email. Must be able to sometimes handle daily interruptions and remain calm and professional. Must be willing to adapt to new systems and better ways to ensure efficiency and accuracy. Must be a go-getter and self-starter. Solid verbal communication and customer service skills are a necessity. Comfort and experience utilizing computer systems is a must; focus, organization, prioritization skills are essential.


Working Conditions

Work Is performed in and office/clinical setting.

The primary work location for this position is Boston, MA and in order to be on Harvard payroll, you must reside in one of the following states – MA, NH, RI, ME, CT, VT, NY, or MD. The Harvard School of Dental Medicine will support flexible work schedules subject to individual departments’ business needs.
