Job Description:

This position supports accounting activities for the department of Business Affairs, Auxiliary Services, and Real Estate. Reporting to Director of Finance:

The Financial Accountant/Financial Specialist will perform various accounting duties, such as supervising the work of financial coordinators, and is responsible for ensuring the accuracy of all accounting transactions and financial statements, as well as the accuracy of financial information pertaining to the functional areas and related financial information Provides procurement support to the division by processing purchase requisitions as requested. This position also provides budgeting and financial reporting support as needed.

Major Responsibilities:

  • Review supplier invoices/transactions submitted by the Real Estate operations team for payment and entered into department’s lease administration database by financial coordinator; approval in a timely manner to ensure on-time payments to vendors. 

  • Ensure tenant billing is accurate and in accordance with the terms of the lease and that the lease administration database financial entries are updated in a timely manner in accordance with lease/amendment terms;

  • Generate, review, and submit A/P and A/R integration files via lease administration system for upload into Workday;

  • Create supplier invoices, customer invoices, and purchase requisitions in Workday, as requested and as needed;

  • Collaborate as requested with Assistant Director, Auxiliary Housing in the preparation of the bi-annual billing to student accounts for Auxiliary Housing, as well as reviewing all other student charges posted to Banner for accuracy; work and follow-up with Assistant Director, Real Estate in setting up recurring payments to suppliers based on supplier contracts and update as necessary. Collaborate with Assistant Director, Real Estate in submitting contracts for review via the Brown Contract Management system;

  • Supervise one Financial Coordinator;

  • Provide accounting support as needed to all departments within the Business Affairs, Auxiliary Services, and Real Estate division.

  • Abstract and update relevant financial clauses from tenant leases as needed into lease administration database;

  • Follow-up on all critical date and financial alerts with both Transaction Manager and Director of Finance’

  • Complete financial tasks assigned via the lease execution workflow system in a timely manner to ensure accurate tenant invoicing;

  • Prepare annual tenant real estate tax, CAM, and operating expense reconciliations in a timely manner consistent with lease requirements, and adjust budget amounts billed to tenants as necessary;

  • Ensure that lease database is maintained and updated timely and accurately, including adding and mapping necessary revenue and expense categories and mapping to Workday.

  • Support all departments in the division of Business Affairs, Auxiliary Services and Real Estate with financial operations as requested and particularly in financial reporting, processing more complex financial transactions, contract processing, etc. 

  • Respond to information requests from internal colleagues and external partners timely and accurately as needed; other duties as assigned by Director.

Job Qualifications and

Education and Experience:

  • Bachelor’s Degree in a related field of finance or accounting with 3-5 years’ related experience

  • Strong accounting and financial analysis background and aptitude.

  • Experience using ERP system financial modules, preferably in Workday.
