Position Focus:

Under the direction and supervision of the Manager, DNA Diagnostic Lab and Clinical Practice Liaison, the Charge Review position provides work queue resolution of medical billing charges by analyzing clinical documentation to code and/or validate diagnostic (ICD-10) and procedural (CPT/HCPCS) codes for the DNA Lab, Yale Medicine in Epic for genetic testing. Ensures compliance with established coding guidelines, third party reimbursement policies, regulations and accreditation guidelines. Maintains effective workflow processes to assure complete, accurate and timely billing activity and optimal reimbursements. Help providers to place test orders with appropriate ICD10 codes; work with lab genetic counselor to support Yale medicine to obtain authorizations for genetic testing from insurance companies. Follow up on prior authorizations, and obtain waivers if tests are not payable by insurance company. Communicates professionally with insurance companies, lab, providers, business office, and centralized Yale Medicine departments as needed. Client services including providing information about submitting tests, communicating with ordering provider about appropriate ICD10 and CPT codes.

Coordinating with the laboratory directors and supervisors regarding the prioritization of tests and helping to make sure reports are issued in a timely manner. Assisting with test tracking and clerical management of test requests in the Beaker Laboratory Information System. At completion of tests, conduct manual charge entry, maintenance of account files, and assists with review of problem accounts. Other responsibilities include scheduling appointments and answering phone calls. Maintain Fellowship Program. Provide a high level of administrative support for the DNA Diagnostic Lab and the Directors.


Essential Duties

1. Serves as a principal source of information on rules and procedures governing University accounts receivable. Oversees and instructs support staff. 2. Oversees maintenance of account files, ensuring accuracy and completeness. Reviews payment histories. 3. Resolves problem and delinquent accounts with supervisor and collection agency. Assists with final review and disposition of problem accounts. 4. Recommends and implements changes to systems and operating procedures. Composes form letters and correspondence used in accounts receivable activities. 5. Researches individual accounts. Summarizes findings in reports. Completes and processes forms. Performs clerical functions incidental to account activity.


Required Education and Experience

Four years of related work experience, two of them in the same job family at the next lower level, and high school level education; or two years of related work experience and an Associates degree, or an equivalent combination of experience and education.


Required Skill/Ability 1:

Demonstrated knowledge of ICD-10, CPT-4 and HCPCs coding, medical terminology, third party payers, and encoder software. 


Required Skill/Ability 2:

Proficiency with electronic data entry and retrieval, e-mail and web-based applications. Demonstrated ability to analyze and interpret evaluation and management documentation guidelines as well as procedure reports in an academic medical setting.


Required Skill/Ability 3:

Working knowledge of insurance/government payers billing and reimbursement policies and procedures. Proven ability to interpret and apply guidelines. Adheres to YM policies and procedures.


Required Skill/Ability 4:

Demonstrated strong interpersonal, verbal and written communication skills. Ability to effectively communicate with team members and providers to resolve questions regarding documentation or coding issues.


Required Skill/Ability 5:

Demonstrated ability to work independently. Organize and prioritize work with minimal supervision. Ability to work in a stressful environment meeting timely deadlines and maintaining productivity and quality standards. Proven ability to work effectively as a team member with a common goal.


Preferred Education, Experience and Skills:

Epic experience strongly preferred.


Preferred Licenses or Certifications:

Certification as an AAPC Professional Coder (CPC).
