Job Summary
 

The access coordinator is responsible for the coordination of note-taking and communication access services for Student Disability Services (SDS).

Responsibilities

  • Recruit, select, and hire note-taker student employees using the SDS database and the University’s hiring practices and software.

  • Review notes that are uploaded regularly and reconciled with time-card submissions by student note-takers. Approve and/or reconcile time-card submissions of student employees.

  • Engage with students, staff, and faculty regarding the implementation of requested accommodation services, ensuring that all note-taking support, communication services, and/or equipment are provided in a timely and effective manner for eligible students; and provide timely confirmation of those services to all pertinent parties.

  • Provide note-taker student employees with an overview of their responsibilities, technical support, and guidance on best practices.

  • Using the SDS database scheduling system, schedule sign language interpreters and CART providers for students, faculty, staff, and visitors.

  • Engage with students, contracted support staff, and faculty to ensure that all contracted communication access services (e.g., ASL interpreting and captioning) and/or equipment are effective and setup in timely and efficient manner so that students are able to equally access communications.

  • Review invoices from interpreters and CART providers for payment of services.

  • Liaise with campus partners to ensure that sign language interpreters and CART providers have access to necessary University systems and resources, including email addresses, campus id cards, zoom access, Canvas access and parking passes.

  • Responsible for planning, directing, coordinating, and managing daily operations of individual portfolio within SDS unit. Responsibilities are diverse and may be general in nature, reflecting more than one functional within the SDS area, such as the daily operations, communications, and implementation of note-taking, captioning, and interpreting services on behalf of individuals with disabilities.

  • Establish and communicate portfolio priorities and performance standards, and assesses operations using these criteria. Plans and conducts quality assurance reviews. Evaluates the efficacy of note-taking and communication access portfolios of work, and recommends changes as appropriate.

  • Assist university stakeholders in implementing communication access service needs through educational measures such as training, consultations, communications, and the creation of informational resources.

  • Provides support to SDS Directors and support to other SDS staff, with the implementation and coordination of all auxiliary supports, accommodations, disability programs and services, as requested.

  • Assists students 1:1 in the selection of the best note-taking methods; and train students on note-taking strategies and technologies using moderate/solid understanding and experience of the tools and resources to support the delivery of note-taking services to eligible students.

  • Manages multiple email accounts and portfolio database modules, as well as all written communications about the coordination of support services.

  • Liaises with campus stakeholders such as IT services, AVS, Center for Digital Accessibility, University Library Systems, College Housing, Facilities Services, Parking and Transportation, College Programming Office, Environmental Health & Safety and the University of Chicago Police Department, Human Resources, Payroll, Registrar, vendors, area deans of students, faculty, and other staff administrators in the timely provision of accommodations for eligible students. Collaborates with various campus partners and stakeholders to ensure implementation of accommodations. 

  • Appropriately communicates the accommodation process, services and resources on campus; and refer students for other appropriate services, as well appropriate.

  • Serves as a resource in interpreting University policies and procedures; and may serve as a thought partner along with senior leadership in the development and implementation of SDS policies and procedures.

  • Collaboratively supports with departmental records management projects; data reporting responsibilities; departmental programs, events, projects, and initiatives, to advance the mission of SDS.

  • Uses moderate/solid understanding and experience to administer the delivery of services to program participants and/or beneficiaries.

  • Sets and communicates program priorities and performance standards and assesses operations using these criteria. Plans and conducts quality assurance reviews and recommends changes as appropriate.

  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Education:

  • Bachelor's degree.

Experience:

  • Familiarity of disability services in an educational setting.

  • Experience working with business databases and/or scheduling or project management software applications.

  • Excellent computer skills including the ability to work with wide variety of software programs including but not limited to: Adobe Pro; People Soft Applications; Microsoft Office Suite; and Google Applications.

  • Experience coordinating complex scheduling of 50+ services efficiently.

  • Experience arranging accommodations for individuals with disabilities and/or working with assistive technology software or hardware.

  • Experience training individuals with diverse learning styles on different types of technology and procedures.

Preferred Competencies

  • Strong organizational skills with the ability to manage competing priorities.

  • Excellent interpersonal, verbal and written communication skills.

  • Good judgment and memorization of multiple step procedures and/or policies.

  • Appropriate discretion and the ability to handle highly confidential material.

Working Conditions

  • Fast-paced environment.

  • Attendance at meetings in various campus locations throughout the University campus.

  • Weekend and evening hours and participation in off campus programs may be required occasionally.
