Admissions Receptionist, School of Law

The University of Virginia School of Law seeks one or more Receptionists to greet Law School visitors and to support the Admissions and Financial Aid Offices. The Receptionist is responsible for creating a welcoming atmosphere for all visitors. The successful candidate will be outgoing, friendly, and dedicated to the mission of the Law School.  Strong customer service skills, attention to detail, and the ability to work well with a team are essential for the position.

The Receptionist also supports the Admissions office with its workflow, and takes general direction from the Associate Director of Admissions as to what tasks have priority on a given day. 

The Admissions Receptionist will:

  • Welcome all visitors and provide basic information about the Law School, delivering  professional, knowledgeable, and consistent customer service to visitors and callers.
  • Receive incoming calls, answer routine inquiries, and route calls to others as appropriate.
  • Distribute parking passes to visitors and maintain parking log.
  • Respond to basic requests for information about the School of Law and the admissions process.
  • Open, date, classify, distribute, and file mail, including components of applications for admission. Identify mail requiring special handling, including requests for application fee waivers, applications for Virginia In-State Educational Privileges; Financial Aid Institutional Form; and recommendations requiring special acknowledgement.
  • Perform admissions data entry, file maintenance, and quality control.
  • Assemble and maintain applicant files as needed throughout the admissions cycle.
  • Support admissions team with administrative tasks as needed, including but not limited to printing, copying, scanning, shredding, filing, organizing, etc.
  • Assemble prospect packets for information sessions and visitors to the law school; maintain admissions brochures and other materials in the reception area.
  • Other duties as assigned.

Required:

  • High school diploma or equivalent and one or more years’ experience in a customer service position.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and the ability to multi-task.
  • Knowledge of basic office practices and procedures, including familiarity with Microsoft Office suite (e.g., Word, Excel) and databases.  
  • Able to demonstrate high level of professionalism on a daily basis and the exercise of good judgment and discretion.
