Job Summary 
The Center of Higher Learning (CHL) coordinates all academic activity at the John C. Stennis Space Center (SSC) and arranges and delivers non-academic training in support of Stennis agencies. The CHL “Academic & Training Coordinator” is responsible for providing support and assistance to the Director regarding the CHL academic and training programs and in budgetary and financial matters.
Primary Duties and Responsibilities  

  • Academic - Provide assistance to the Director in coordinating all academic activity at the John C. Stennis Space Center in support of onsite agencies and employees.Aid students with admission and registration procedures, requests for information or assistance, exam administration, and other similar actions.Interact with Stennis Space Center personnel, such as Agency Training Officers, to determine educational requirements.
  • Training - Provide support to the CHL training program, to include working with Stennis organizations to identify training opportunities, working with third-party training vendors to deliver training courses and materials, providing hands-on logistical support to such organizations during training events.  Handle enrollment, payments, and attendee correspondence for all training events.
  • Budgets - Provide overall administrative support to the CHL Director as needed for budgets and finance, including preparing budgets, analyzing expenditures and revenue, procuring services and equipment, reconciling financial transactions with University financial reports, and reconciling procurement card expenditures.  Monitor real-time status of all budgets and expenditures to provide Director with accurate information regarding budget decisions.
  • Facilities – Coordinate and operate Interactive Video Network (IVN) classes, maintain the CHL computer labs and other training facilities, and ensure the operability of all training technology such as computers and overhead projectors.  Install and update software programs, and troubleshoot and resolve standard computer IT issues as needed.
  • Promotional Materials - Write reports, prepare presentations, develop and distribute academic class schedules, develop and distribute marketing fliers and announcement bulletins, update academic and training information on the CHL website, and prepare other written materials as needed.
  • Record Keeping – Keep detailed records of all training and educational activities, to include gathering and organizing detailed student and training participant data, property and equipment data, and budget and financial data.
  • Other duties as assigned.

  • Minimum Qualifications  
    An undergraduate degree from an accredited university in any field OR 4 years work experience in a University setting OR equivalent combination of education and experience is a requirement for this position.  Successful completion of a federal background investigation is also a requirement for this position.
     
    Knowledge, Skills & Abilities
     
    • The Academic & Training Coordinator should be able to work independently with little or no oversight.
    • The incumbent of this position should have superior written and verbal skills and should be able to produce written documents and electronic presentations with little or no editing.
    • The ability to meet multiple, simultaneous deadlines and to track and maintain multiple, simultaneous projects is necessary, as is the ability to keep accurate and detailed records in a highly organized manner.
    • Proficiency in a variety of software applications, especially with Microsoft Excel, is critical to the success of this position.
    • The ability to create a variety of visually-pleasing promotional materials is required.
    • Knowledge of computers and computer operating systems (i.e., Windows) as well as the ability to troubleshoot simple computer issues are required.Ability to install computer software packages is required.


    Preferred Qualifications 
    Applicants would ideally be familiar with University policies and procedures, and would ideally be familiar with Stennis Space Center agencies and organizations.
