Reporting Line:

This position reports to the Associate Director, Advising and Academic Services.

Job Overview:

The Academic Support Specialist provides administrative, class scheduling, and registration services to the Advising and Academic Services team that serves INTO Mason pathway students. This position
ensures, from detailed advanced planning to registration troubleshooting during peak periods, that students are completely and correctly registered by the first day of classes.


This is a valued role in a growing, dynamic organization, so the responsibilities of this position may change and develop over time, but will include the following:

  • Working with Program Managers and Advisors to plan and scheduling pathway courses and seats based on anticipated enrollments; creating class schedule blocks;
  • Placing/removing registration holds on students as needed; notifying students with holds;
  • Registering pathway students for classes with attention to INTO Mason curriculum grids and guidelines, test results, and space/resource constraints;
  • Working with Admissions and the Registrar to troubleshoot registration/record errors;
  • Assisting Program Managers with special projects;
  • Producing student grade/progress reports for various stakeholders;
  • Providing clerical and administrative support for matriculation/progression processes;
  • Other duties as assigned.

Required Qualifications:

  • Advanced ability to work with technical systems such as MS Access and MS Excel;
  • Must be process- and detail-oriented;
  • Strong oral/written communication and interpersonal skills;
  • A strong work ethic and a positive, friendly, and customer service-oriented attitude;
  • Comfortable working with culturally and ethnically diverse populations;
  • An Associate degree or an equivalent combination of education and experience;
  • Demonstrated experience managing records;
  • Demonstrated ability to prioritize, meet deadlines, and work under pressure while maintaining attention to detail.

Preferred Qualifications:

  • Ability to take initiative and work both independently and with a team;
  • Bachelor’s degree;
  • Significant experience with student information data systems/reports;
  • Proficiency with Ellucian BANNER application;
  • Professional work experience in a university admissions or registrar’s office;
  • Experience and the ability to work with a wide variety of internal and external constituents.

This is a part-time 20hr/wk position with an hourly pay rate of $19.23/hour. We offer a positive work environment, casual Fridays (wear your Green and Gold), on-site dining and company sponsored events. Candidates must be eligible to work in the U.S. no sponsorship is offered. Regular hours of work and days are Monday through Friday, 8:30 a.m. to 5 p.m. Due to the unique nature of the position, some weekend work may be required during peak periods between semesters.
