Description of Work Unit
The Academic and Student Affairs (ASA) Office, housed in the Engineering Success Center, provides support and resources to current and prospective engineering undergraduate students. This unit is responsible for undergraduate recruiting efforts, retention initiatives, academic advising, diversity and access initiatives, career support services, administering scholarships, and coordinating Walter Scott, Jr. College of Engineeringevents. We are the first point of contact for many of our incoming students and their families. The ASA Office is led by the Associate Dean for Academic and Student Affairs and is comprised of three teams that work collaboratively to support student success: Recruitment, Advising, and Career Services.

Position Summary
The Academic Support Coordinator will provide proactive advising support for the students in the Walter Scott, Jr. College of Engineering (WSCOE) and meet the University and College’s mission to increase retention and diversity, through the programs which are managed by the Academic and Student Affairs Office.
This individual will organize and participate in events within the College and in coordination with other University offices; including the summer RAM Orientation program for incoming students to the College, Engineering Exploration Week events, and Admissions Visit Days. This individual will provide significant assistance as co-lead of WSCOE RAM Orientation in addition to organizational responsibilities for RAM Orientation for the College. They serve as one of the primary advisors for Engineering Open Option students.
The successful candidate must be legally authorized to work in the United States by the proposed start date of January 3, 2023. The Department will not sponsor a visa for this position.
Required Job Qualifications
  • Bachelor’s degree from an accredited college or university
  • Ability to work with people in both a face-to-face and remote format
  • Excellent written, verbal and interpersonal communication skills
  • Ability to show initiative and independence as well as ability to function well in an atmosphere that promotes teamwork
  • Must be willing and able to work non-standard hours including nights and weekends, approximately 10% of the time, based on the nature of some unit events
Preferred Job Qualifications
Experience in the following areas:
  • working with and recruiting first generation students, and other underrepresented populations
  • advising or providing support and resources to underrepresented student populations
  • working with Banner/ARIESweb, Navigate, Oracle or other student information systems and databases
  • supervising student employees at the undergraduate level

Demonstrated ability to:
  • coordinate large-scale events
  • implement programming strategies to strengthen specific programs
  • advise students in their programs of study in a one-on-one setting

  • Advise current and prospective Open Option Engineering major students along with other related duties:
    • Support prospective students interested in pursuing engineering
    • Share information on major options and admission requirements
    • Review prospective student transcripts and evaluate for possible transfer credits to Engineering
    • Serve as an academic advisor during Ram Orientation for Engineering Open Option students (EGOP)

  • Maintain familiarity with all Walter Scott, Jr. College of Engineering degree plans in order to advise students about how to choose a future major:
    • Advise on academic matters, scheduling of classes, and semester-to-semester academic evaluations to help students choose a major
    • Disseminate information and maintain student records
    • Maintain working knowledge of current departmental, college, and university requirements necessary for undergraduate students to make the correct decision about choosing a major within the College

  • Identify and use best practices to implement a holistic and developmental advising approach
    • Assist students in addressing issues related to their transition to the University and their exploration and confirmation of major
    • Track student progress and conduct active and proactive outreach in support of their ongoing success
    • Utilize data to discern patterns of student success and difficulty and to design strategic interventions
    • Help students develop plans to improve GPA’s and overcome academic challenges

  • Develop a detailed knowledge of campus resources, opportunities, and conduct active referrals to connect students with appropriate support and opportunities

  • Serve as primary point person for Walter Scott, Jr. College of Engineering (WSCOE) Academic Success Initiatives including but not limited to:
    • Engineering Tutoring Program
    • PreCalculus Math Support and Outreach

  • Co-Lead WSCOE’s Summer Ram Orientation
    • Train and supervise student staff to support advising team during orientation
    • Provide regular communication with college stakeholders about rising needs in individual and broad summer trends
    • Develop new communication strategies to students and guests about items necessary for student success

Duty/Responsibility
  • Fall and Spring
    • Aid in the recruitment, selection, hiring, and training of approximately 20 student workers in the Engineering Residential Learning Community (ERLC)
    • Directly Supervise 5-10 Tutors; potentially working alongside a designated graduate student worker

  • Summer
    • Aid in the selection, hiring, and training of 7-10 Ram Orientation staff members
    • Co-Supervise summer staff

  • Provide additional professional development and training opportunities for staff as needs arise
  • Monitor the mental health and wellbeing of staff, provide referrals and/or guidance, depending on the needs of the staff team
