The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.


Position Summary

The Academic and Student Affairs Advisor coordinates the academic and student affairs and admissions functions of the IEOR Department. Such as Academic and student affairs for BS, MS, and PhD - primary focus on BS. This role will maintain the operation and functions of activities of the department's five undergraduate major tracks minors (including Entrepreneurship). This role will assist with the operation and functions of our eleven-degree programs. Some of the other key functions of this role include Student accommodations, Graduate admissions, and Faculty search. This position reports to the Director of Academic and Student Affairs. The position co-supervises seasonal interns.


Responsibilities

  • (60%)Academic and Student Affairs
    • Coordinate student onboarding activities including admissions yield, orientation, and academic advising
    • Supervise undergraduate student organizations, such as CUInforms
    • Oversee undergraduate special events including Senior Design Expo, BS open house, Major Declaration events, Academic Resource Fair.
    • Conduct advising town halls for undergraduates; includes combined plan students and registration advising every term; advising minor programs
    • Coordinate advising sessions, town halls, and related program seminars
    • Maintain student database of advising notes, advisor assignments, and related documentation
    • Host open office hours to assist students with academic and student-related inquiries; address student inquiries in a timely manner; escalate urgent issues to Director
    • Conduct midterm and end-of-semester grade reviews and related monitoring of our BS and MS students; escalate students in danger of failing to Departmental leadership
    • Oversee the graduation clearances of BS students; support the graduation clearances of MS students
    • Coordinate the nomination and presentation of BS and MS graduation awards
    • Assist with scheduling classes (fall, spring, and summer), request/obtain the necessary support resources, including classrooms, exams, technology, exam proctoring services, course waitlist/cross-registration management
    • Serve as Departmental Liaison for University level offices, such as the Office of Disability Services, Counseling and Psychological Services, International Students and Scholars Office, Graduate Student Affairs, Center for Student Advising, etc.
    • Support graduate student accommodations and tutoring initiatives for the Department
    • Support faculty advisor assignments and office hours
    • Assist with MS advising during peak academic periods (early registration, add/drop periods)
    • Distribute academic/student affairs-related correspondence to students
    • Monitor and respond to emails sent to the Departmental email addresses [email protected] and other academic mailing lists.
  • (15%)Graduate Admissions
    • Support yield activities to converge to the predetermined class size, including open-house
    • Coordinate nominations and selection of student ambassadors
    • Host MS Express and 4+1 Pathway advising/info sessions.
  • (10%)Faculty Search
    • Support search schedules, meetings, and presentations, in collaboration with the Director Liaise with IEOR faculty on search-related activities.
  • (10%)Administrative and Operations
    • Liaise with Career Team on Summer Industry Projects/Research (registration and grading)
    • Assist with various Departmental large-scale events
    • Web/technology support (i.e. maintain the student database, website, and School-related systems, such as COI, Vergil, Canvas, SSOL, and reporting functions).
  • (5%)Other related duties, as assigned

Minimum Qualifications

  • A bachelor degree is required; graduate-level work is preferred. Minimum of 2-4 years of student/academic affairs and admissions experience is required, with an ability to identify and analyze trends in the academic/admissions process.
  • Familiar and appreciate student and academic affairs, departmental program curriculum and requirements, and web management and administration.
  • Strong computer literacy/proficiency required: an understanding and appreciation of student services database software and online resources, and the willingness to respond to the needs of prospective and current students and faculty in a technologically-oriented society. Proficiency with Google suite of products, MS Office, publishing software, etc.
  • Ability to work independently and under pressure, with a high level of attention to detail. Must be able to prioritize multiple tasks with minimal supervision.
  • Candidate must exercise good judgment and flexibility, with a student-wellness mindset.  Positive, mission-oriented, forward-thinking attitude and sense of humor a must.
